This position is within the Office of the Chancellor at UC Berkeley, which plays a crucial administrative and organizational role in supporting the vision and priorities of the Chancellor and Executive Vice Chancellor and Provost. The Office handles strategic initiatives, compliance issues, and provides essential services to advance the leadership’s goals. The role of Executive Assistant is key to the smooth operation of the Chancellor’s suite, providing frontline support and administrative assistance to senior executives in this high-profile office.

As an Executive Assistant at UC Berkeley's Office of the Chancellor, you will serve as the first point of contact for all visitors and guests, ensuring a welcoming and organized reception environment. This role is highly visible and requires a professional and diplomatic demeanor, as you will be interacting with a wide range of stakeholders, including campus leadership, donors, students, faculty, and external constituents. You will be responsible for managing calendars, coordinating complex meetings and events such as the Chancellor’s Cabinet and Roundtable meetings, and handling various communications on behalf of the office. An essential part of your duties will include managing logistical details like room reservations, catering arrangements, audiovisual support, and set-up and breakdown for meetings.

Beyond direct administrative support, you will play a pivotal role in communication flow within the Chancellor’s Office, responding to inquiries, routing mail and email efficiently, and ensuring that information is accurately documented and distributed. Maintaining office supplies and overseeing the copy and mailroom areas are also part of your responsibilities. Your expertise in records management and project planning will be valuable as you manage both traditional and digital record-keeping systems, support archival processes, and assist with the organization of office events.

This full-time, in-person role requires you to be on site five days a week at the Main Campus in Berkeley. The position offers a competitive salary range of $68,700 to $94,300, commensurate with experience and qualifications. Job Duties

  • Serve as the first point of contact for visitors and guests to the Chancellor's and Executive Vice Chancellor and Provost's suite and direct them to appropriate offices
  • Provide administrative and logistical support to the Associate Chief of Staff and other senior team members for meetings and events, including scheduling, room reservations, participant communication, materials preparation, catering coordination, audiovisual support, and room set-up and breakdown
  • Answer the Chancellor's Office phone and voicemails and respond to general phone inquiries, forwarding to appropriate staff members for resolution
  • Respond to a wide variety of questions and issues from faculty, staff, students, and the public on behalf of the Chancellor's Office, including highly sensitive matters
  • Collaborate with communication lead to route the Chancellor's incoming mail and email within 24 hours for information, action, or comment
  • Process general operating supplies and equipment for the front office, maintain the copy room and mailroom, and ensure accuracy of the Cal Hall Directory
  • Partner with University Development and Alumni Relations to obtain the Chancellor's signature on documents and track incoming and outgoing official mail and correspondence
  • Manage records using traditional and emerging communication technologies, perform information resource management, records systems analysis, archival appraisal, and support for campus-wide information users
  • Develop and organize project plans for Chancellor's Office events like staff meetings, appreciation and holiday events
  • Perform other duties as assigned
