The Executive Assistant (EA) role within DiCE is an exceptional opportunity for a motivated and detail-oriented professional to join a vibrant team under the leadership of the Vice President (VP). This full-time, exempt staff position is based at the main Albuquerque campus and is classified at position grade 13. The salary ranges from $4,277.87 to $5,000 monthly, reflecting the senior-level nature of this role and the high expectations associated with supporting executive leadership. The EA acts as the primary point of contact for all operational and administrative matters on behalf of DiCE, managing the intricate calendar of the Vice President with efficiency, overseeing communication channels, and coordinating special programs and events.
In this multifaceted role, the Executive Assistant is responsible for maintaining an organized and well-managed calendar, scheduling meetings that involve local, national, and international stakeholders, and ensuring all logistical details such as locations, addresses, and directions are accurate and accessible. The role demands impeccable communication skills to screen and respond to correspondence appropriately, drafting responses when necessary to maintain a professional presence. The EA is also pivotal in managing special initiatives such as the Faculty Forward postdoctoral programs and various grant-related activities, working collaboratively with the Program Manager to orchestrate special events that align with DiCE's objectives.
Another core function of the position involves supporting the operational aspects of several key councils and meetings, including the Alza Council, LEID Council, and DiCE check-in meetings, ensuring meeting documentation is properly created, gathered, and posted for stakeholder engagement. The Executive Assistant's role extends to supervising student employees, contributing to the team's overall productivity and ensuring smooth administrative processes. With the use of technology platforms like Microsoft Office Suite, Zoom, Teams, and various digital file-sharing tools, the EA facilitates seamless communication and collaboration within the division and across the university.

Job Qualifications
- High school diploma or GED

- highly adept at scheduling using Outlook or similar programs
- proven knowledge of executive-level administrative principles and practices
- experience supporting an Executive Director, Vice President, or higher-level executive
- demonstrated expertise coordinating multiple calendars using scheduling platforms
- experience planning and coordinating events
- strong communication and marketing skills
- proficiency with Microsoft Office Suite, video conferencing platforms, and digital communication tools

Job Duties
- Efficiently and effectively maintain the Vice President's calendar
- schedule one-on-one, small group, and large group meetings
- coordinate meetings with local, national, and international partners
- ensure Outlook calendar entries include locations, addresses, directions, and all relevant meeting details
- receive, screen, evaluate, and determine appropriate responses to written correspondence
- draft or suggest responses as appropriate
- manage special programs for the Vice President including Faculty Forward postdoctoral and hiring programs, DiCE grant programs, and other initiatives
- partner with the Program Manager to plan and coordinate special events on behalf of the Vice President
- coordinate Alza Council meetings
- coordinate LEID Council meetings
- coordinate DiCE check-in meetings
- create, gather, and post meeting documentation
- assist in the supervision of student employees
