The Executive Assistant role at Solace is a critical position that supports the Chief Executive Officer and the leadership team. This role involves managing the CEO's priorities, coordinating executive schedules, facilitating effective communication, and assisting in event planning and coordination efforts. The Executive Assistant acts as an extension of the CEO, ensuring that their time is used efficiently and that the company’s strategic objectives progress smoothly. This high-trust, high-visibility position not only demands exceptional organizational skills but also requires a keen ability to anticipate the needs of the CEO before they arise and manage multiple complex tasks seamlessly.
The role is hybrid, requiring onsite presence three days a week at the Redwood City office, allowing for a balance of in-person collaboration and remote work flexibility. The Executive Assistant will be responsible for calendar management across multiple time zones, prioritizing meetings based on urgency and impact, handling travel logistics, and protecting the executive's time by managing inbound requests and resolving conflicts proactively. The position also includes supporting large-scale company events, acting as a meeting proxy when necessary, drafting executive communications with clarity and professionalism, and serving as a liaison between the CEO, internal teams, external partners, and vendors.
In addition, this role requires meticulous attention to detail in expense reporting, continuous improvement of operational processes, and supporting the leadership team's full cadence of meetings including business reviews, planning sessions, and offsites. Candidates for this role must bring at least five years of executive support experience, preferably at the CEO or C-suite level, along with excellent communication skills, sound judgment, and the ability to thrive in a fast-paced, evolving startup environment. Job Qualifications
- 5+ years of experience supporting senior executives, preferably at the CEO or C-suite level in a high-growth, fast-paced environment

- Strong written and verbal communication with an ability to draft clear, concise executive-level messaging
- Demonstrated judgment, professionalism, and ability to handle confidential information
- Excellent project management skills: you keep things moving, even without explicit direction
- Ability to anticipate needs, solve problems independently, and stay ahead of deadlines
- Comfort operating in a dynamic, sometimes ambiguous environment while maintaining calm and clarity
- High EQ and ability to navigate cross-functional relationships with empathy, tact, and confidence
Job Duties
- Own complex, multi-time-zone calendar management, prioritizing meetings based on urgency, impact, and strategic value
- Protect executive time by triaging inbound requests, managing hold blocks, and proactively resolving scheduling conflicts
- Support the planning and execution of large-scale events
- Act as proxy in meetings when needed, capturing detailed notes, clarifying decisions, and driving follow-through on action items
- Draft, edit, and send communications on behalf of executives with strong executive presence and clarity
- Serve as the primary point of contact between executives and internal leaders, external partners, and vendors
- Digest, summarize, and escalate key information, updates, risks, or insights while maintaining strict confidentiality
- Support the full leadership cadence by owning agendas, note-taking, action tracking, and follow-through
- Build and continuously improve systems, templates, and processes that enhance executive productivity
- Manage end-to-end travel logistics, itineraries, reservations, and expense reporting with meticulous attention to detail
- Ensure seamless operational execution during high-volume periods, travel, or periods of rapid change
