The company offers flexible work models, including a hybrid Flex schedule, supporting employee work-life balance while meeting business needs. \n\nAbout the Role: \nThe Executive Assistant role at Ultragenyx Pharmaceutical offers a unique opportunity to work alongside top leadership, specifically providing comprehensive administrative support to the Chief Quality Operations Officer (CQOO) and Executive Vice President of Translational Sciences, among other senior leaders within the Translational Sciences and Quality organizations. This full-time position requires onsite presence typically 2-3 days per week, aligning with the company’s Flex work model, which balances remote work with collaborative in-office engagements. \n\nIn this key role, the Executive Assistant will manage complex calendars, coordinate both domestic and international travel arrangements, handle expense reporting and account reconciliations, and facilitate high-level communications. Responsibilities will also include organizing meetings, preparing and refining critical presentations for executives and board members, supporting health authority inspections, coordinating special projects, and ensuring smooth operational workflows within the leadership team. The position demands exceptional organizational skills, adaptability, and discretion in handling confidential information. Ideal candidates will be proactive self-starters with a positive, flexible attitude and excellent interpersonal skills, capable of multitasking in a dynamic, fast-paced environment while prioritizing the needs of senior executives. Job Requirements
- Minimum of 15 years of executive administrative support experience
- Previous support experience in life sciences or biotech
- Must be flexible and highly organized
- Proven ability to juggle multiple competing tasks
- Excellent oral and written communication skills
- Proficiency in MS Office Suite including Outlook, PowerPoint, Excel, Word, and SharePoint
- High attention to detail
- Ability to prioritize and work independently
- Excellent interpersonal and verbal communication skills

Job Duties
- Provide day to day administrative support for Chief Quality Operations Officer and Executive Vice President, Translational Sciences, and senior leaders
- Manage and maintain heavy and complex calendars, appointments, and meeting requests through MS Outlook with frequent re-prioritization and shifting schedules
- Coordinate domestic and international travel arrangements with outside travel agency and process related expense reports
- Perform general administrative functions including maintaining distribution lists, org charts, shared file collaboration, executing administrative contracts, coordinating vendors, printing, ordering lunches
- Build and refine PowerPoint presentations for C-suite executives, Board of Directors, key stakeholders and external health authorities and industry conferences
- Manage departmental leadership team meetings including scheduling, agenda tracking, presentation collection, preparation of minutes, and follow-up on action items
- Support Health Authority inspections as needed
- Collaborate extensively with internal and external contacts ensuring effective communication
- Apply good judgment handling sensitive and confidential information
- Participate in special projects as assigned
