The Executive Assistant role at Liebherr USA Co. is integral to supporting the Managing Director and ensuring the smooth operation of administrative and executive functions across multiple locations. This full-time position encompasses a broad range of duties centered on executive support, travel and event coordination, business support, and data organization. The ideal candidate will be proficient in Microsoft Office Suite and capable of leveraging AI-enabled productivity tools to streamline communication, reporting, and various administrative tasks.
The role requires meticulous organization skills, discretion when handling sensitive information, and the ability to adapt quickly to shifting priorities in a dynamic international business environment. Responsibilities include coordinating complex travel arrangements domestically and internationally, managing expense claims, supporting shareholder and VIP customer events, organizing meetings and site visits, and maintaining critical contracts and records. Additionally, the Executive Assistant will assist in preparing financial summaries, tracking invoices and service agreements, and compiling data to support leadership decision-making.

Job Requirements
- Associate’s degree required
- Bachelor’s degree preferred in business, finance, IT administration, or related field
- 0-7 years of experience in administrative, coordination, or shared services support roles depending on level
- Experience supporting multi-location operations preferred
- Advanced proficiency in Microsoft Office Suite
- Ability to use AI tools effectively
- Travel domestically and internationally up to 5% of the time
- Ability to obtain and maintain a valid driver license
- German language proficiency is a plus but not required

Job Duties
- Process and track all types of travel expense claims in accordance with company requirements
- Coordinate travel arrangements including flights, ground transportation, meeting logistics, and accommodations
- Support VIP customer events by coordinating flights, transportation, accommodations, entertainment, and agendas
- Coordinate shareholder-related activities including jet and commercial flight arrangements, transportation, accommodations, and other event or travel needs
- Plan meetings and visits for guests and visitors including meeting rooms, hospitality, site logistics, local transportation, and factory tours
- Maintain organized archives for contracts, agreements, delegation of authority documents, and related records
- Assist with preparation and tracking of cost summaries and expenditures
