Job Requirements
- High school diploma required
- At least 7+ years supporting an executive or equivalent experience
- Strong written and verbal communication skills
- Ability to work in a high demand environment with professionalism and business acumen
- Ability to multi-task and prioritize work
- Proficiency with Mac and Windows environments, Microsoft Office, SAP, Confluence and Concur
- Complete reliability handling confidential and sensitive information
- Strong organizational skills and attention to detail
- Flexibility in schedule

- Desire to help leaders and co-workers above and beyond
Job Qualifications
- At least 7+ years supporting an executive or equivalent experience
- Sharp written and verbal communication skills including flawless grammar and rich vocabulary
- Ability to showcase professionalism and business acumen while working on a high demand desk
- Desire to immerse fully and learn all aspects of executive’s business
- Ability to multi-task and prioritize work
- Strong proficiency with computers, phones and office equipment as well as mastery of Mac, Microsoft Office programs, SAP, Confluence, Concur and ability to work in Windows and Apple environments
- Complete reliability handling confidential and highly sensitive information
- Desire to be truly helpful to leaders and co-workers and to go above and beyond without being asked
- Some flexibility in schedule
- Very strong organizational skills and attention to detail
- A calm head and steady hand to deal with the unexpected
- Experience at The Walt Disney Company or large public corporation
- Experience working with Imagineering
- Experience with video teleconferencing equipment, Slack, Zoom
- Some presentation skills including PowerPoint, Keynote, Adobe suite
- Good knowledge of current technology trends
- Experience in architecture, design and construction industry
- High school diploma required
- BA/BS or equivalent preferred
Job Duties
- Perform administrative duties including screening and routing phone calls, managing calendars, processing invoices, scheduling meetings requiring significant coordination and follow up, and ensuring timely and effective communications
- Prepare expense reports in SAP and ensure they are submitted in a timely manner
- Prepare for meetings including setup for large presentations or video conferences with multiple sites
- Manage the planning, coordination, and execution of business travel, including trip logistics and itinerary, meeting coordination, and remote support when executive is out of office, taking into account time zones, weather delays, traffic and fatigue levels
- Interface directly with other senior executives, their support teams and external organizations and work well with people on all levels
- Review leader’s schedule to build-in time for things like thinking and traveling to their next meeting
- Understand the day’s priorities to be strategic about directing phone calls
- Be ready to adjust schedule for emergencies and promptly resume normal operations
- Handle extremely confidential and sensitive information
- Draft letters and emails on behalf of the leader
- Provide additional office support such as ordering supplies, processing purchase orders and approval processes
- Coordinate department off-sites and events as needed
- Assist with any special projects and other related duties as needed
