Job Requirements

  • Bachelor's degree
  • 8-10 years of progressive administrative support experience
  • 5+ years supporting senior-level leadership
  • ability to work in a fast-paced environment

  • discretion in handling sensitive information
  • advanced computer skills including Microsoft Office and Smartsheets
  • bilingual in English and Spanish is preferred

Job Duties

  • Provide high level administrative support to multiple assigned executives
  • manage evolving calendars including coordinating high-level meetings team events and arranging travel domestic and international
  • serve as a liaison between executives and internal and external stakeholders
  • screen and manage incoming communications for executives serving as both a filter and a primary point of contact
  • prepare and process expense reports and administrative invoices in compliance with company policies
  • support leadership team with special projects and administrative tasks as needed
  • collaborate with Executive Assistants to schedule meetings with other C-Suite department executives prioritizing meetings based on urgency available attendees and meeting space
  • provide cross coverage for the Executive Administration team serving as back up support to other C-Suite Executives and Senior Vice Presidents as needed
  • handle additional responsibilities that may apply due to country location or department differences
