It is a full-time employer seeking an experienced Executive Office Administrator to join its dynamic team and support its CEO and Executive Team. The Executive Office Administrator role is pivotal, offering high-level administrative assistance to the CEO, Executive Team, company, and employees across various tasks. This position helps conserve the CEO's time by representing the CEO both internally and externally, serving as a liaison among the CEO, vendors, and employees. Responsibilities include event planning, producing company-wide communications, managing credit card reconciliations, solving ad hoc problems, document management, and scheduling.
The role demands discretion and confidentiality, as the incumbent manages highly sensitive information. The position requires a proactive individual capable of managing multiple priorities and handling executive-level communications efficiently and professionally.
Primary duties include editing and publishing communications on behalf of the CEO, prioritizing and summarizing incoming mail and emails, screening calls to the CEO and handling inquiries within capacity, greeting visitors, and managing complex calendar schedules to anticipate and resolve conflicts. The role also involves scheduling and coordinating meetings and executive events, facilitating project implementation initiated by the CEO and Officers, and working discreetly to maintain confidentiality around sensitive company information. Coordination with various company divisions such as legal and contracts for document tracking is an essential aspect of the job, along with maintaining or obtaining a notary status.
The administrator must occasionally provide problem-solving assistance beyond normal business hours due to international operations and travel demands. This may involve coordination, document modification, emergency travel adjustments, and rescheduling tasks.
In addition to executive support, this role includes office administration responsibilities like arranging corporate travel, preparing expense reports and purchase orders, assisting with meeting notes and action item distribution, managing vehicle assignments, and ensuring secure document handling per company policies. Familiarity with company policies regarding travel, personnel, IT, and record retention is required as the administrator will operate within these guidelines daily.
This position calls for someone with a bachelor’s degree or higher from an accredited college or university accompanied by 5 to 10 years of experience as an assistant to a high-level CEO or Officers. A valid driver’s license is mandatory, and the candidate must hold or be willing to obtain notary certification.
