Koniag Management Solutions is currently seeking a highly skilled Executive Administrative Assistant to provide comprehensive day-to-day administrative support for the U.S. Coast Guard's Offshore Patrol Cutter (OPC) Project Residence Office (PRO) located in Mobile, Alabama. This full-time position requires an individual who possesses a Secret security clearance and the capability to thrive in a fast-paced government acquisition environment. The Executive Administrative Assistant will be responsible for supporting senior leadership by managing varied tasks such as correspondence management, meeting coordination, travel arrangements, and meticulous preparation of reports and presentations. The ideal candidate will have exceptional organizational and communication skills, proficiency in Microsoft Office suite including Word, Excel, and PowerPoint, and the reliability to handle sensitive information with discretion and professionalism. In this role, the assistant will develop PowerPoint presentations, emails, documents, white papers, spreadsheets, graphs, and program documentation essential to the OPC PRO functions. They will be tasked with recording detailed meeting notes and action items, distributing them appropriately to relevant stakeholders, preparing recurring and special reports by researching and consolidating information, and managing all incoming correspondence using established controls and tracking logs. Additionally, the assistant will prepare executive and staff-level communications to ensure strict formatting standards while reviewing outgoing correspondence for accuracy and completeness.
The position also includes responsibilities such as screening telephone calls and office visitors, maintaining calendars and scheduling appointments, coordinating conferences and video teleconferences, facilitating all travel arrangements via the USCG travel system, and supporting official travel logistics including Distinguished Visitor coordination. Other duties include ensuring protocol requirements are met, supporting rapid submission of data calls, tracking critical documents like memoranda and training records, monitoring approval processes, and assisting with communication tools and products for various events and media.
Candidates will be expected to uphold a professional demeanor and be capable of interacting seamlessly with senior military and civilian personnel. They will also support ceremonial events such as keel laying, christening, and commissioning by managing guest lists and related documentation. Job Duties
- Develop PowerPoint presentations, emails, documents, white papers, spreadsheets, graphs, and program documentation
