The Executive Administrative Assistant to the Vice President of Corporate Planning and Development plays a critical role in the smooth operation of the executive's office. This position requires performing a wide range of complex administrative and personal assistant duties, often involving confidential matters. A solid understanding of company and hotel policies and procedures is essential for success in this role. The administrative assistant is responsible for managing the flow of work through the VP's office, prioritizing daily tasks, and ensuring timely follow-up on important matters. This includes organizing the VP's schedule, handling correspondence independently when possible, and ensuring that all communications are conducted professionally.
In this key supporting role, the assistant acts as a reliable and detail-oriented self-starter capable of working with minimal supervision while maintaining professionalism. The assistant represents the best interest of the company at all times, interacting with a diverse company staff and maintaining a calm, professional demeanor in a fast-paced, dynamic environment. Responsibilities also include answering and screening calls, taking accurate messages, taking minutes during meetings, and ensuring the office is neat and orderly. Adherence to company policies such as dress code, attendance, and drug-free workplace standards is mandatory.
This position requires someone who can handle multiple tasks efficiently, apply common sense to carry out instructions, and maintain confidentiality. The ideal candidate has at least three years of administrative experience and proven proficiency in grammar and typing, as demonstrated by passing applicable tests. Physical requirements include the ability to lift up to 25 pounds consistently and occasionally up to 50 pounds. The candidate must be legally authorized to work in the United States and possess at minimum a high school diploma or equivalent.
