The Western Division of FM Global is currently seeking an Executive Administrative Assistant to support the Operations Manager at the Dallas office located in Frisco, TX. This full-time role requires handling a variety of administrative duties that demand discretion, confidentiality, and the ability to exert considerable judgment and initiative. The position is highly organized and involves managing executive secretarial functions independently, ensuring smooth and efficient administrative operations within the office. The Executive Administrative Assistant will be responsible for anticipating the needs of senior executives, preparing materials for meetings and conferences, managing complex schedules, and coordinating communications within the company and with external partners. The role also includes the preparation of reports, presentations, and handling both confidential information and special events planning.

Job Duties
- work independently using considerable judgment and initiative to handle all executive secretarial and administrative functions on behalf of the senior executive
- anticipate and prepare materials needed by senior executives for conferences, correspondence, trips, appointments, meetings, telephone calls
- summarize content of incoming materials, specially gathered information, or meetings to assist executive
- coordinates information with background office sources
- draw attention to important parts or conflicts
- anticipate ways to save executive time
- handle details of confidential nature and perform administrative functions based on company policy and executive’s views
- schedule appointments for senior executives
- arrange travel schedules and reservations
- interact with all levels of personnel, clients, and vendors
- handle correspondence, monthly, and quarterly reports
- build and monitor various tracking logs and reports
- prepare ad hoc reports and presentations identifying and researching information for inclusion
- organize special events
- coordinate off-site meetings and events for clients and employees
