Job Description
Lake Austin Spa Resort is a renowned destination spa resort located on the tranquil shores of Lake Austin in Texas. The Group and Events Coordinator role at Lake Austin Spa Resort is a full onsite position that plays a pivotal role in supporting both spa and overnight resort group bookings as well as special events. Reporting directly to the Sales Manager, this position requires working closely with multiple departments such as the Spa Director, Food and Beverage team, and activities team to ensure seamless coordination and execution of social and corporate group events. The primary focus of the role is to facilitate group bookings and special events from the initial inquiry stage through to the guest's arrival and stay, ensuring all arrangements meet the resort's high standards and client expectations.
The ideal candidate will be highly organized and detail oriented, capable of managing multiple responsibilities including conducting site inspections, giving client presentations, and creating contracts and booking documentation. This individual must be adept at developing and maintaining strong client relationships, managing client account files, and tracking sales activities using the resort’s sales platform. Attention to detail is crucial, as the role involves coordinating every aspect of events including food and beverage arrangements, meeting space setup, room drops, and audio-visual requirements. The coordinator must ensure VIP amenities are provided appropriately and that all client needs are effectively communicated to and fulfilled by resort departments.
Furthermore, the Group and Events Coordinator acts as a key point of contact during events, greeting clients and ensuring exceptional service throughout the event duration. They are also responsible for post-event follow-up, soliciting feedback, and encouraging future bookings. Candidates should possess attributes such as a positive team player mindset, efficient time management, decision-making capability with an understanding of business implications, and integrity in all dealings. Experience with Salesforce and event contracts is essential, along with a minimum of two years’ experience in resort or related event coordination.

Job Duties
- Ensure that all business is booked within resort parameters
- be highly organized and detailed oriented
- conduct property site inspections and give client presentations
- create contracts and other related booking documentation as required
- manage and maintain client account files and tracks in the sales platform
- build and maintain strong client relationships
- detail events for spa and resort groups including organizing all food & beverage, meeting space setup, room drops, and meeting audio-visual needs
- ensure proper amenities are sent to VIPs in groups
- ask appropriate questions of the clients and make suggestions to meet group and resort needs
- create BEOs, group resumes, and communicate client needs to all resort departments
- greet clients at events to ensure outstanding service and follow up with soliciting feedback and time to re-book
