The Events Specialist position is a part-time role within the Liberal Arts Advisement and Careers (LAAC) department at BYU. This department supports students from both the College of Family, Home, and Social Sciences and the College of Humanities throughout their academic journeys and in preparation for their careers post-graduation. As the Events Specialist, the successful candidate will take a leadership role in planning and executing a variety of student-facing events that significantly impact student engagement and success. Responsibilities include organizing New Student Orientation, Major Fair, College Showcase, and regular outreach events designed to connect students with vital academic and career resources.

In addition to event coordination, the role involves managing annual convocation ceremonies in collaboration with the College's Dean's Office, providing logistical support such as arranging accommodations and VIP services, and managing event budgets. The position also entails creating and managing social media content to enhance the visibility and outreach of LAAC. The working hours are flexible, averaging 17.5 hours per week, which suits individuals seeking part-time employment with adaptable schedules. The hourly pay range typically falls between $22.50 and $29.25, reflecting the specialized skills and organizational capabilities required. Job Requirements

  • Two years of experience with event planning and/or managing projects
  • A pleasant, mature, and professional demeanor
  • Ability to coordinate and communicate clearly with teammates, faculty, and other stakeholders
  • Ability to deal appropriately with difficult situations and customers
  • Computer skills including MS Office especially Excel with ability to learn new systems quickly
  • Knowledge and experience with formatting correspondence such as email requests, faxes, memos, and directives from management
  • Attention to detail
  • Knowledge of general office equipment such as copier, scanner, shredder
  • Candidates must hold and be worthy to hold a current temple recommend if they are members of The Church of Jesus Christ of Latter-day Saints
  • Resume and cover letter required
  • Must be able to work part-time with flexible hours averaging 17.5 hours per week

Job Qualifications

  • Two years of related office work experience and/or progress towards a bachelor’s degree
  • Two years of experience with event planning and/or managing projects
  • A pleasant, mature, and professional demeanor
  • Ability to coordinate and communicate clearly with teammates, faculty, and other stakeholders
  • Ability to deal appropriately with difficult situations and customers
  • Computer skills including MS Office especially Excel with ability to learn new systems quickly
  • Knowledge and experience with formatting correspondence such as email requests, faxes, memos, and directives from management
  • Attention to detail
  • Knowledge of general office equipment such as copier, scanner, and shredder
  • Three or four years of event planning and/or project management experience preferred
  • Proven experience leading complex events such as large-scale ceremonies or conferences preferred
  • Experience with vendor negotiation and contract management for events preferred
  • Experience with training and directing temporary staff or volunteers for events preferred
  • Knowledge of higher education experiential learning programs such as study abroad, internships, and undergraduate research preferred
  • Familiarity with financial record-keeping or expense reporting preferred
  • Familiarity with social media strategy and graphic design principles preferred
  • Knowledge of BYU policies and procedures and Workday preferred

Job Duties

  • Plan and execute all LAAC events including New Student Orientation, Major Fair, and College Showcase
  • Facilitate regular outreach events such as monthly open houses to connect students with academic advisors and career directors
  • Design and create promotional materials for students and faculty
  • Plan and execute the annual convocation ceremony for the College of Family, Home, and Social Sciences and assist with the College of Humanities convocation
  • Arrange accommodations and VIP services as needed
  • Manage and train staff and volunteers on convocation assignments
  • Work closely with the LAAC Office Manager and student employees to create social media content for the Center
  • Order office supplies, schedule rooms, manage calendars, and coordinate on event budgets with the LAAC Office Manager
