The Events Specialist role is an integral part of Olin Business School, supporting a wide array of programming and events operations that span internal and external audiences. This includes high-profile signature events, faculty conferences, seminars, brown bag sessions, and graduation ceremonies, among others. Scheduled for 37.5 hours per week, the position is designed to incorporate flexibility, including some early morning, evening, and weekend hours, with the possibility of limited travel. The salary range for this hourly role is between $23.37 to $36.19 based on qualifications, experience, and departmental budget considerations. The Events Specialist is responsible for managing events from conception through execution, collaborating closely with staff, faculty, and university leaders to align event goals with institutional objectives and community needs. This collaborative approach ensures that each event is thoughtfully designed in terms of type, scale, and tone. The specialist also plays a key role in logistical planning including venue research and contract negotiation, coordinating set-up and tear-down, overseeing registration processes, managing food and beverage arrangements, and maintaining event supplies. Budget administration is a critical component of the role, requiring attention to detail and ability to maintain control over event finances. Communication is another essential element, encompassing the creation and management of invitations, registration materials, reminders, and updates, as well as post-event data collection and accurate reporting for the customer relationship management system. Additionally, the Events Specialist supports school-wide event programming efforts and aids faculty and staff committees in the successful planning and execution of a broad range of Olin-wide events. This teamwork approach helps foster consistent standards and enhance the overall quality of events across the school. Job Requirements

Job Duties

  • Manage the event process from start to finish
  • Collaborate and strategize with staff, faculty, and university leaders on event planning
  • Conduct event planning meetings, staff briefings, and event evaluations
  • Manage event logistics including set-up, tear-down, registration, audio-visual, food and beverage
  • Order and maintain event and conference supplies
  • Administer and oversee individual event budgets
  • Research potential venues and negotiate contracts
  • Manage all communications for events including invitations, registrations, reminders, and updates
  • Post event data collection and reporting to CRM
  • Support faculty conferences, seminars, brown bags, graduation ceremonies, and other school-wide events
  • Develop consistent event standards school-wide
  • Perform other duties as required
