The opportunity available is for an Events Specialist who will play a crucial role in planning, coordinating, and executing a wide variety of community events both virtually and in person. This hands-on role bridges strategic planning with practical implementation to ensure the smooth delivery of high-quality experiences that resonate with the Experience Tulsa community. The ideal candidate will be an organized professional with sharp attention to detail and the ability to multitask and problem-solve effectively while keeping the event experience engaging and meaningful. Responsibilities encompass managing event logistics such as vendor relations, on-site event coordination, budget oversight, and post-event evaluation. Working collaboratively with internal teams and external stakeholders, the Events Specialist will bring creative event concepts to life, maximize outreach through aligned marketing efforts, and contribute to Tulsa’s growing reputation as a vibrant, inclusive place to live and work.

This position is hybrid, based in Tulsa, Oklahoma, offering a flexible work structure that includes 1-2 days in-office per week and varying schedules to accommodate event timings which may require evening, weekend, or holiday hours. Candidates should be prepared to travel locally within Tulsa and engage in physical event tasks, including setup and transportation of materials. The role requires a valid driver’s license, reliable personal vehicle, and the ability to manage physical demands up to 25 pounds.

Job Requirements

  • Bachelor’s degree in event management, hospitality, or related field preferred
  • minimum 2.5 years of experience in event planning and coordination

Job Qualifications

  • Bachelor’s degree in event management, hospitality, or related field preferred
  • 2.5+ years of experience in event planning and coordination for small to large-scale events

Job Duties

  • Plan, coordinate, and execute a variety of events including in-person and virtual
  • develop event concepts, schedules, and logistics plans
  • work with internal teams to define event needs and secure resources
  • track event details and manage tasks in Asana
  • ensure event planning workflows are current and up to date
  • source, negotiate, and manage relationships with vendors
  • conduct site visits and manage event setup needs
  • support contract negotiations and ensure vendor compliance
  • collaborate with marketing team to promote events through various channels
  • manage event registration, attendee communication, and email inquiries
  • maintain oversight of event budgets and forecast expenses
  • support on-site event operations including staffing and logistics
  • troubleshoot issues during events
  • analyze post-event feedback and prepare reports
  • perform other duties as assigned
