Experience Tulsa is currently seeking an Events Specialist who will play a crucial role in the tactical execution of a wide range of events. This position is focused on the meticulous planning, coordination, and delivery of events to meet the highest standards of quality and engagement within the Experience Tulsa community. The Events Specialist will translate strategic goals into practical applications by managing event logistics, working closely with vendors, and overseeing all on-site activities for events. The role requires collaboration with internal teams and external stakeholders to bring the team’s vision to life through well-executed and meaningful experiences that foster community connections throughout Tulsa.

Ideal for a hands-on, detail-oriented professional, the Events Specialist must possess strong multitasking abilities, problem-solving skills, and an enthusiastic approach to attendee engagement. Responsibilities include managing both in-person and virtual events, developing detailed event concepts, and coordinating schedules and logistics according to event objectives and target audiences. The Events Specialist will also oversee vendor and venue management, including sourcing, negotiating, and maintaining relationships with caterers, AV providers, venues, and rental companies.

In addition, the Events Specialist will collaborate with the Experience Tulsa marketing team to promote events using a variety of platforms such as Slack, newsletters, social media, and email campaigns. They will manage event registration, attendee communication, and inquiries, while maintaining the event budgeting process by forecasting expenses and ensuring costs stay within budget constraints. On event days, this role supports on-site operations by coordinating setup, staffing, vendor presence, and troubleshooting issues in real time to ensure seamless event execution.

Post-event responsibilities include analyzing attendee feedback through surveys, preparing detailed post-event reports on attendance and financial outcomes, and providing actionable recommendations for future event improvements. This role represents a vital link in creating engaging and enriching experiences that celebrate Tulsa's vibrant community and support the broader goals of economic and social development.

The position is hybrid, based in Tulsa, Oklahoma, with an expectation of in-office presence 1-2 days per week and flexibility to work evenings, weekends, and holidays as necessary. The workload may vary depending on scheduled programming and events. Candidates must have reliable transportation and be willing to transport event items when needed. Salary for this role ranges from $24.00 to $28.80 per hour, with a comprehensive benefits package that includes medical, dental, paid time off, and retirement contributions. Job Requirements

Job Duties

  • Plan, coordinate, and execute a variety of events including in-person and virtual
  • develop event concepts, schedules, and logistics plans
  • work with internal teams to define event needs and secure resources
  • track event details and manage tasks in Asana
  • ensure event planning workflows are up to date
  • source, negotiate, and manage vendor relationships
  • conduct site visits and manage setup needs
  • support contract negotiations and compliance with vendor agreements
  • collaborate with marketing team to promote events through multiple channels
  • manage event registration and attendee communication
  • support Slack database management
  • maintain oversight of event budgets including forecasting and tracking expenses
  • coordinate on-site event setup, staffing, and logistics
  • troubleshoot real-time event issues
  • analyze post-event survey feedback
  • prepare post-event reports including attendance and financial summaries
  • perform other duties as assigned
