We are currently seeking a dedicated Event Planning and Execution Specialist to join our team. This role is integral in supporting the seamless delivery of a wide variety of events including corporate meetings, community gatherings, member and employee engagement activities, and business development functions. The ideal candidate will bring strong organizational skills, attention to detail, and the ability to coordinate complex logistics spanning venue arrangements, catering, transportation, audiovisual support, and event supplies. The role demands adeptness in managing event registration systems, tracking attendees, coordinating vendor relationships, and preparing comprehensive event materials such as agendas and staffing plans. Event setup and on-site management will be crucial, as will troubleshooting any issues that arise to ensure smooth guest experiences.

In addition to event coordination, this position involves administrative support duties including managing calendars, developing presentations and reports, budget tracking, processing invoices, and maintaining meticulous records of contracts and vendor agreements. Effective communication and collaboration with multiple departments such as marketing, communications, retail, and business development are essential to align event activities with organizational goals. Relationship management is another cornerstone of this role, requiring the candidate to build and maintain positive interactions with internal stakeholders, vendors, community partners, and event attendees. Representing the organization professionally at events and meetings will also be expected.

This is an excellent opportunity for a motivated event professional with two to four years of experience, preferably in financial services or corporate environments, who seeks to contribute to meaningful event experiences and organizational success. A bachelor’s degree in Event Management, Hospitality, Marketing, Communications, Business Administration, or a related field is preferred but not mandatory for candidates demonstrating relevant experience and skills. Job Requirements

  • Bachelor's degree in Event Management, Hospitality, Marketing, Communications, Business Administration, or related field preferred
  • Two to four years of experience in event planning, hospitality, project coordination, administrative support, or related experience
  • Experience coordinating multiple projects simultaneously with competing deadlines
  • Financial services or corporate event experience preferred
  • Ability to work under pressure and manage time effectively
  • Strong organizational skills
  • Excellent verbal and written communication skills
  • Proficiency in Microsoft Office and event management software

Job Duties

  • Support the execution of corporate, community, member, employee, and business development events
  • Coordinate event logistics including venue arrangements, catering, rentals, transportation, audiovisual needs, signage, and supplies
  • Manage event registration platforms, RSVP tracking, attendee communications, and guest lists
  • Coordinate vendor relationships and assist with contract administration and logistics management
  • Prepare event materials including agendas, run-of-show documents, staffing plans, name badges, signage, event kits
  • Assist with event setup, on-site management, troubleshooting, and event breakdown
  • Coordinate volunteer and staff assignments for events and ensure all participants have the information necessary to be successful
