The Event Coordinator role offers an exciting opportunity to contribute significantly to the success of John Hancock's B2B audience engagements through strategic event management. Reporting to the Director of Meetings and Events, the Events Specialist position is pivotal in planning, coordinating, and executing top-tier meetings, conferences, and events designed to educate, activate, and incentivize clients and partners. This role requires a keen eye for detail and strong organizational skills as it involves managing event logistics such as on-site coordination, budget tracking, event registration, and vendor management with precision and professionalism. The ideal candidate will thrive in a fast-moving environment, skillfully juggling multiple priorities while maintaining an unwavering commitment to accuracy and service quality.
The Events Specialist will use tools such as Cvent to facilitate the setup and management of registration forms and event websites, ensuring a smooth process for attendees. Responsibilities also include the preparation of detailed reports including hotel room type allocations, arrival and departure manifests, and other vital event documentation. Effective communication with attendees is critical, involving the distribution of confirmations, accommodation details, and comprehensive information kits to enhance the overall event experience. Budget oversight is another essential component of this role, emphasizing financial stewardship and cost control to align with company objectives. - Experience with Cvent and working knowledge of Outlook, Microsoft Word, Excel, PPT, MS Forms
- Ability to learn new technology and applications

- This role may require limited occasional travel

Job Duties
- Support event planning/meeting management team on Insurance Distribution events as assigned
- Coordination and producing complete management information itineraries for delegates attending meetings, conferences, and special events
- Use Cvent to set up meeting/conference registration forms and websites
- Processing of registration information, including system input and liaison with external travel partners to coordinate airline travel for attendees
- Produce hotel reports including room type, arrival/departure dates, room credit, special requirements, etc., and generate arrival/departure manifests and meeting/conference tour reports
- Prepare confirmation emails for attendees including details of hotel accommodation, arrival information and any other supporting information
- Preparation of attendee information kits including business agenda, transportation details, name badge and relevant materials
- Track and maintain budgets for events
- Prepare exhibitor booths and materials for industry meetings and conferences
