The Event Services Coordinator position at The Cottonwood is an essential role supporting the Senior Event Sales Manager by overseeing the detailed planning and seamless execution of events from contract signing through final preparations. This role acts as the primary communication link between clients and the hotel, ensuring every event detail is accurately documented, confirmed, and effectively communicated internally and externally. Attention to detail is paramount in this position, as is exceptional organizational and communication skills to maintain flawless event coordination.
Key responsibilities include preparing comprehensive event orders, maintaining organized and accurate event files, coordinating event timelines, updating client information, and liaising with various hotel departments to guarantee that all event specifications are met. Job Requirements
- High school diploma or equivalent
- Previous hospitality, event planning, hotel, or administrative experience preferred
- Strong written and verbal communication skills with professional email and business correspondence experience
- Proficient with computers and standard office software
- Able to learn hotel and event management systems
- Highly organized with exceptional attention to detail
- Able to manage multiple priorities while maintaining accuracy and a positive attitude
- Professional, polished, and confident when interacting with clients, guests, and team members
- Strong administrative and office skills including scheduling, data entry, phones, and file management
- Fluent in reading, writing, and speaking English
- Able to perform the essential functions of the position safely and effectively
