We are currently seeking a dynamic Event Manager to join our dedicated team. The ideal candidate will bring a genuine passion for the hospitality industry, coupled with an entrepreneurial mindset, to manage and enhance the planning and execution of events across our properties. In this role, the Event Manager will oversee definite bookings, including groups and events, ensuring seamless coordination from contract signing to departure. Responsibilities span managing rooming lists, guest room pickups, food and beverage selections, and audio-visual needs, all aimed at maximizing client satisfaction and revenue. Maintaining excellent client relationships before, during, and after events is paramount, fostering trust and repeat business. The Event Manager will also collaborate closely with the sales team to optimize function space usage, negotiate creative menu presentations, and execute effective event proposals.

Attention to detail is critical, as the role involves finalizing booking requirements, managing billing and commission processes, creating precise floor plans, and conducting pre-conference meetings with clients and internal departments. Hands-on assistance and problem-solving on property during events will also be essential to ensure smooth operations. The successful candidate must exhibit strong communication and teamwork skills, alongside a deep understanding of hotel facilities and operational dynamics.

Job Requirements

  • High school diploma or equivalent
  • minimum of 2 years experience in event coordination or management
  • excellent verbal and written communication skills
  • ability to work flexible hours including evenings and weekends
  • proficiency with computer software relevant to event management

Job Duties

  • Manage definite bookings (groups and events) turned over by the sales team
  • organize bookings from contract signing to departure including meeting and event requirements, rooming lists, guest room pickup, monitor cut-off dates, food and beverage planning and audio-visual needs
  • establish and maintain rapport with clients before, during and after programs, encouraging repeat business
  • negotiate with clients to achieve maximum revenue and fulfill contractual responsibilities while satisfying client needs
  • coordinate with Sales Department to ensure proper utilization of function space to yield maximum revenues
  • finalize booking requirements while maximizing revenue potential through up selling and effective communication with all departments
  • maintain active trace and follow-up system
  • ensure accuracy of Banquet Checks and review bills post-event
  • create floor plans using Social Tables ensuring client agreement prior to set up
  • initiate billing procedures ensuring receipt of deposits and credit applications timely
  • process commission payments on groups post-final billing
  • conduct pre-conference meetings with clients and pertinent departments
  • assist Director of Banquets/F&B with on-property group servicing as needed
  • review function space with banquet manager
  • ensure client satisfaction at event outset
  • plan and attend meetings with hotel staff and clients including Resume Meeting, BEO Meeting, Sales Meeting, Pre-Convention Meetings, Planning Visits, and Menu Tastings
  • make timely decisions balancing client needs with financial, safety, and staffing goals
  • find solutions to challenges and glitches during group events
  • maintain knowledge of hotel facilities, meeting space capacities and operational needs
  • establish and maintain good communication and teamwork with colleagues and other departments
  • gather and submit daily, weekly and monthly reports as directed
  • offer guests and clients an enjoyable experience meeting the LINE's standards of excellence, professionalism and friendliness
