The Events Project Coordinator role at iMBranded is a critical position that focuses on ensuring the flawless execution and timely delivery of graphics for large-scale event projects. Reporting directly to the Event Director, this role is responsible for managing the entire lifecycle of significant graphics projects such as the Grand Prix of Arlington, the Detroit Grand Prix, and other national or regional events. The coordinator plays a vital role by gathering essential project data from clients and account managers and effectively communicating this information to various internal teams, including design, production, shipping, installation, and inventory.
Key responsibilities include monitoring each phase of the project to ensure deadlines are met, costs are controlled, and the highest quality standards are upheld. The Events Project Coordinator acts as a central liaison between the client and internal teams, facilitating clear communication and managing expectations to guarantee an exceptional client experience throughout the project. This position requires meticulous organization, expert project management skills, and the ability to handle multiple projects simultaneously under tight timelines.
In addition to project and workflow oversight, the role demands a strong focus on quality assurance, process improvements, and budget management. The Events Project Coordinator tracks budgets, prepares cost estimates, oversees the production and installation processes, and manages invoicing and client billing with a focus on cost efficiency and accuracy. The role also calls for occasional travel to event sites to support on-ground operations and maintain strong client relationships. Job Requirements

Job Qualifications
- Bachelor's degree in a business-related field such as project management advertising marketing business administration event management or graphic design
- 3+ years of project coordination experience with demonstrated success managing projects and programs from cost quality and client services perspectives
- Exceptional organizational and time management skills with the ability to manage multiple projects simultaneously under tight deadlines
- Proficiency in project management tools such as Gantt charts and project trackers
- Expert skills in Microsoft suite specifically Excel
- Strong verbal and written communication skills with the ability to present effectively to all levels of management
- Proven ability to lead cross-functional teams through planning execution and delivery
- Willingness to work extended hours and travel to local event sites as needed
- Detail-oriented with a creative problem-solving mindset
- Ability to thrive in a fast-paced deadline-driven environment
- Experience in large-scale events preferred
- Experience in advertising signage graphics and/or graphic design preferred
- Familiarity with graphics production and installation processes preferred
- Project Management Certification preferred
- Previous experience using work order or inventory management systems preferred
- Experience with Monday.com Asana Salesforce or equivalent preferred
Job Duties
- Coordinate the end-to-end lifecycle of graphics projects ensuring alignment with scope timeline and budget
- Develop and maintain detailed project plans monitor progress approvals production installation and post-event dismantle and inventory
- Document and communicate clear customer requirements to internal teams such as design production graphics
- Input and update work orders including tracking change orders and approvals
- Facilitate issue resolution and escalate challenges as necessary
- Oversee quality control reviews throughout the project lifecycle
- Review and manage inventory during post event wrap up
- Develop document and improve internal workflows and processes across the Graphics department
- Present project plans timelines and updates to internal stakeholders and external clients
- Support both local and national event projects including travel to client and event sites
- Maintain and strengthen long-term client relationships by delivering consistently exceptional experience
- Work seamlessly with internal events team to ensure customer needs are met while maintaining an efficient and positive work environment
- Prepare and track detailed budgets cost estimates and timelines
- Monitor project spending ensuring alignment with client-approved budgets and identifying opportunities for cost savings
- Produce and manage final invoicing to clients
