Job Description

The District of Columbia Public Library (DCPL) is a vital cultural and educational institution serving the diverse communities within Washington, D.C. DCPL is renowned for its expansive collection of resources, innovative programming, and strong commitment to community engagement. The library system includes multiple neighborhood branches as well as the flagship Martin Luther King Jr. Memorial Library, a newly modernized facility that hosts a variety of public and private events. The Office of the Executive Director, specifically through its Events, Exhibits & Development Department, spearheads initiatives that generate revenue and enrich the cultural fabric of the city by overseeing event rentals, arts programs, and major library events. The department plays a critical role in fostering community connections by organizing cultural festivals, author talks, film screenings, and special programming that reflect the city's dynamic spirit.

This role is for an Events Program Coordinator within the Events, Exhibits & Development Department at DCPL. This position is responsible for the comprehensive planning, coordination, and execution of both public events and private paid rentals. The Events Program Coordinator works hands-on with vendors, library staff, and a variety of stakeholders to deliver outstanding event experiences. The events typically take place at the Martin Luther King Jr. Memorial Library but may occasionally be held at neighborhood library branches. Typical library programming includes author lectures, cultural performances, festivals, and community workshops, while event rentals encompass private celebrations such as weddings and corporate or nonprofit functions such as board meetings and fundraising galas.

The coordinator develops detailed event run-of-shows and staffing plans in collaboration with departments such as Public Safety, Facilities, and Public Services, ensuring all logistical elements are aligned. They are also responsible for preparing and distributing critical event documents, including schedules, contact sheets, programs, and logistical details covering parking, credentials, talent management, craft services, and signage. A significant aspect of this role includes managing contract requests and payment processing for event rental clients. The coordinator collaborates closely with DCPL's Finance, Legal, and Risk Management teams to ensure all events comply with District regulations and library policies.

In addition, the Events Program Coordinator maintains meticulous records, prepares reports, and documents program outcomes to assist with program evaluation, research, and continuous improvement of future events. They also manage funding and in-kind resource usage for events, maintaining accurate records of contracts and payments. The role requires partnering with the Event Manager to provide prospective clients with up-to-date information on rental spaces, rates, and capacities. The position also involves managing the marketing resources related to event rentals, including website content, social media presence, and advertising campaigns, ensuring all promotional efforts are consistent with DCPL's overall branding and outreach strategies.

This is a career service regular position with a salary range from $92,656 to $104,168, primarily working standard business hours with flexibility for evening or weekend events. The comprehensive and dynamic nature of this role makes it pivotal for successfully delivering DCPL's mission to foster learning, collaboration, and community through diverse event programming and rentable space management. Successful candidates will contribute to sustaining and enhancing the cultural engagement and financial health of the library through expert event coordination and stakeholder partnership.

Job Requirements

  • Must possess high school diploma or GED
  • minimum 4 years of experience in event planning and management
  • minimum 2 years experience in expense tracking and financial reporting
  • strong communication skills
  • ability to think quickly and solve problems on event days
  • ability to manage multiple simultaneous priorities
  • proficiency with standard workplace technology and software
  • knowledge of Microsoft Office Suite and Google Workspace
  • at least 1 year of experience at the next lower grade level (CS11) required for District employees

Job Qualifications

  • High school diploma or GED
  • minimum of 4 years experience planning and managing events

  • strong verbal and written communication skills
  • ability to manage multiple projects and deadlines
  • proficient knowledge of Microsoft Office Suite and Google Workspace

  • bachelor’s degree in business administration, event planning, or related field preferred
  • experience in hospitality, nonprofit, or corporate event management preferred
