The role of Events Planner at Johns Hopkins’ Institute for Planetary Health is a dynamic and integral position tasked with the conceptualization, planning, and execution of diverse, complex events that advance the mission of the institute and its collaborative partners. This full-time, hybrid role offers a competitive salary ranging from $46,200 to $80,800 annually based on experience, signifying the importance and seniority of the position within the ATP/03/PB role classification.

The Events Planner will engage closely with divisional leadership, faculty, program staff, and partner organizations to manage a wide array of events that support research, education, and community building. These events include large-scale symposia, academic conferences, networking dinners, and virtual broadcasts that connect audiences ranging from JHU faculty and students to global stakeholders in Planetary Health. Utilizing cutting-edge technologies such as Zoom, Teams, and specialized industry software like Social Tables and Eventbrite, the planner will enhance digital event experiences and deliver seamless hybrid occasions.

A critical component of the role involves strategic collaboration with the communications team to develop marketing plans, invitations, and promotional materials, ensuring high visibility and engagement. The planner will also manage vendor relationships, budget oversight, scheduling, and ensure accessibility and inclusivity at all events. This position demands excellent interpersonal skills, meticulous attention to detail, and the ability to thrive in a fast-paced academic and nonprofit environment.

The Events Planner will report to the Senior Administrative Manager of JHIPH and play an important role in the broader public health initiatives of Johns Hopkins. The role also requires occasional evening and weekend work, occasional travel, and the physical capability to handle event logistics. With a focus on professional growth, Johns Hopkins supports continuing education and encourages obtaining industry-recognized certifications like the Certified Meeting Professional (CMP). Job Requirements

  • Bachelor's degree
  • Two years of related experience
  • Experience coordinating events in higher education or comparable setting
  • Ability to work occasional evening and weekend hours

  • Capability to lift and carry objects up to 30 lbs
  • Ability to push or pull objects up to 50 lbs
  • Willingness to adjust work schedule for event demands
  • Must be able to work in a hybrid onsite and remote environment

Job Duties

  • Work with divisional, departmental, or center leadership to plan and facilitate events on campus and off-site
  • Develop the theme, style, and communication language for events
  • Determine appropriate venues and coordinate event logistics
  • Maintain project schedules and ensure timelines are met
  • Coordinate catering, rentals, custodial services, and flowers
  • Manage contracts with external vendors
  • Maintain event supply inventory
  • Approve invoices and expenses
  • Collaborate on annual event calendars
  • Work with marketing on event promotion
  • Conceptualize events including goal-setting, speaker recruitment, and agenda development
  • Provide day-of event support
  • Manage relationships with vendors, hotels, and external organizations
  • Ensure event experiences are inclusive and accessible
  • Prepare reports, briefings, and presentations
  • Stay current on event software and technology
  • Train colleagues on event platforms
  • Facilitate virtual events using video conferencing tools
