Job Description

Chief Executives Organization (CEO), founded in 1958, is a distinguished and selective global community comprised of top-tier business leaders. In the role of Event Planning Specialist at CEO, you will be instrumental in supporting the delivery of exceptional and luxury standard events. This position reports directly to the Events Managers and Directors, assisting with administrative, planning, and production efforts crucial to the success of both global and domestic programs. As a key team member who also contributes on-site during events, you ensure the seamless execution of each gathering, enhancing member satisfaction beyond expectations. Your role involves managing comprehensive event schedules, coordinating virtual planning calls across global time zones, researching and evaluating destinations and vendors, producing high-quality member-facing materials, and supporting procurement and accounting needs related to event contracts.

Additionally, this role calls for innovation in event design and planning—sourcing unique design elements such as linens, décor, gifts, and registration materials that amplify the event experience. You will stay ahead of emerging industry trends and integrate new technologies, including AI and digital tools, to modernize processes and boost team efficiency. The position offers the chance to engage directly with high-profile individuals, including C-suite executives and CEO members, requiring exceptional professionalism, sound judgment, and excellent communication skills.

The Event Planning Specialist will play an operational role during approximately one to four events each year, providing crucial on-site support and embodying CEO’s luxury brand standards in interactions with members and stakeholders. This hybrid position is based in Washington, DC, with a work schedule requiring presence in the office at least three days per week, including Tuesdays and Wednesdays as mandatory office days, and offers flexibility to work from home twice weekly. The salary range for this role is $65,000 to $75,000 annually, reflecting the importance and responsibility of this position within CEO's event operations. Job Requirements

  • Bachelor’s degree
  • Minimum two years of experience in event planning or event operations
  • Ability to work effectively across diverse teams and stakeholders
  • Excellent organizational, planning, and prioritization skills
  • Strong proficiency in Microsoft Office, Adobe Creative Suite, Canva, and Salesforce
  • General comfort with new technology platforms and printers
  • Availability to travel for events including evenings, weekends, and trips up to 12 days
  • Valid passport
  • Commitment to excellence and team-oriented approach
  • Ability to maintain composure in fast-paced, high-pressure environments

Job Qualifications

  • Bachelor's degree
  • Two or more years of professional experience in event planning or related administrative roles
  • Excellent written and verbal communication skills
  • Proficiency in Microsoft Office including Word, Excel, PowerPoint, and Outlook
  • Experience with Canva and Adobe Creative Suite (Acrobat, Photoshop, Illustrator, InDesign)
  • Knowledge of Salesforce
  • Strong interpersonal skills to engage with C-suite executives and members confidently
  • Exceptional organizational and time-management abilities

Job Duties

  • Provide comprehensive administrative and planning support to Events Managers and Directors
  • Maintain accurate and up-to-date event schedules on the CEO website
  • Research and evaluate destinations and vendors, preparing comparative summaries and site-visit itineraries
  • Coordinate and manage virtual planning meetings across global time zones
  • Produce polished member-facing materials including attire guides and destination guidebooks
  • Liaise with the Procurement Manager and support accounting with contract spend details
  • Source unique design elements to enhance social event experiences
  • Research emerging event trends and propose actionable recommendations
  • Utilize emerging tools and AI technologies to improve planning efficiency
  • Provide on-site operational support for selected global and domestic events
  • Represent CEO’s luxury brand and service standards during events
