Job Description

Job Qualifications

  • Bachelor's degree in event management, hospitality, communications, or a related field
  • At least three years of experience in event planning or coordination
  • Strong interpersonal and communication skills
  • Proven ability to manage multiple projects simultaneously
  • Experience working with budgets and financial oversight
  • Familiarity with contract management and compliance
  • Ability to collaborate effectively with diverse teams and external partners
  • Proficiency in event management software and Microsoft Office Suite
  • Excellent organizational and problem-solving skills.

Job Duties

  • Develop and manage event timelines, schedules, and logistics plans
  • Coordinate with campus departments, vendors, and external partners to ensure seamless event execution and compliance to agreements
  • Oversee the setup, operation, and breakdown of event spaces
  • Arrange setups, security, and other logistical needs for events
  • Ensure all necessary contracts, GSU approvals, and insurance are obtained for events
  • Manage records of event agreements and contracts
  • Serve as the primary point of contact for external event-related inquiries post-contract
  • Communicate event details and updates to stakeholders, including faculty, staff, and students
  • Collaborate with marketing and communications teams to promote events
  • Develop and manage event revenue and expenditures
  • Track expenses and process invoices related to event logistics and agreements
  • Provide post-event financial reports and analysis
  • Supervise on-site event staff and volunteers
  • Address and resolve any issues that arise during events with key stakeholders
  • Ensure compliance with college policies, contracts, and safety regulations
  • Perform other department duties as assigned.
