The Events Manager role at caa is a pivotal position that requires a blend of logistical mastery, relationship-building skills, and on-the-ground leadership. Reporting directly to the CEO, the successful candidate will manage events remotely from their home office, with scheduled work hours from Monday to Friday, 8:00 AM to 5:00 PM EST. This role includes opportunities to travel throughout the USA to represent caa at various event locations, requiring candidates to hold valid, up-to-date visas and active travel authorizations. Compensation for this position is competitive, ranging from $55,000 to $65,000 USD annually, commensurate with experience and qualifications.

This role demands an experienced professional who can independently own event logistics and execution without needing close supervision. The Events Manager will be responsible for planning and executing all facets of caa’s leadership summits, including venue selection, catering coordination, audio-visual arrangements, seating plans, and event materials such as signage and guest name tags. They will develop comprehensive run-of-show documents, contingency plans, and floor layouts to ensure flawless event delivery. Meticulous budget tracking and cost management are essential to keep events on brand and within financial constraints, while maintaining strong partnerships with sponsors, vendors, and venue staff. The ability to handle live event challenges calmly and efficiently is critical, enabling seamless experiences for attendees, speakers, and sponsors.

In addition to logistics, the Events Manager will collaborate with internal teams such as Sales, Digital Marketing, and Editorial to maximize event attendance, curate engaging promotions, and prepare content for panels and speaker sessions. They will manage RSVP tracking, guest communications, and promotional campaigns across multiple platforms. At the event, they will serve as the face of caa, managing registration desks, distributing materials, supporting speakers, and maintaining sponsor visibility to create a professional and welcoming atmosphere.

Ideal candidates will bring at least 4 to 7 years of event management experience (preferably 5 years or more), a bachelor’s degree—preferably in Marketing or Communications—and proficiency in Microsoft Office, Google Drive, Eventbrite, and CRM tools such as Zoho. Job Requirements

Job Duties

  • Plan and manage all event logistics including venue, catering, AV, seating, materials, and signage
  • Build and own the run-of-show, floor plans, and contingency plans for every event
  • Coordinate shipping, receiving, setup, and breakdown of all caa materials
  • Ensure every event is buttoned up, on budget, and on brand
  • Build and maintain strong relationships with venues, AV teams, caterers, hotels, and local staff
  • Ensure all sponsor deliverables are fulfilled including RSVPs, engagement tables, banners, and signage
  • Prepare guest name tags, table prints, registration materials, and signage
  • Track and manage event budgets
  • Partner with Sales and Digital Marketing to drive attendance through calls, Eventbrite, newsletters, and creative strategies
  • Own RSVP tracking and invite list management
  • Support promotional efforts across LinkedIn, Eventbrite, and email campaigns
  • Coordinate panel prep and speaker sessions with Editorial
  • Attend speaker prep meetings and align on logistics
  • Own internal timelines and keep lead-up meetings on schedule
  • Run the registration desk and oversee material distribution at events
  • Troubleshoot in real time during events
  • Support speakers, maintain sponsor visibility, and keep the room running smoothly
  • Ship all caa materials to and from venues
