The boutique hotel is currently seeking an experienced and service-focused Event Manager / Convention Services Manager. This crucial role is designed to oversee the entire lifecycle of meetings, conventions, and special event planning within the hotel. The Event Manager acts as the primary liaison between clients and the hotel's operations teams once events are booked, ensuring seamless communication, meticulous planning, and flawless execution of all events. The Event Manager / Convention Services Manager will be responsible for managing every aspect of event coordination, from initial planning and client consultation to on-site execution and post-event review. This professional will work closely with various departments, including sales, banquet, culinary, audiovisual, housekeeping, and front office teams, to guarantee that every event meets the client's expectations and hotel standards. Key responsibilities involve creating and distributing detailed Banquet Event Orders (BEOs), conducting pre-event meetings with clients, overseeing room setups, managing event flow, and addressing any on-the-spot client requests or issues.
Aside from on-site coordination, the position also involves operational oversight such as site inspections, event walkthroughs, documentation accuracy, and supervision of event setup and breakdown. Additionally, financial and administrative duties include assisting with contract reviews, budget monitoring, revenue tracking, invoicing, and maintaining event records within the hotel's management system.
Ideal candidates will have at least 3 to 5 years of prior experience in hotel event management, convention services, or banquet operations, with a proven track record of coordinating various event types including corporate meetings, conferences, weddings, and social functions. Strong project management, organizational, and communication skills are essential, as is the ability to manage multiple concurrent events. Availability to work during evenings, weekends, and holidays as per event scheduling is also required.
Preferred experience includes working in a full-service or convention hotel environment, familiarity with event management or property management software systems, and knowledge of banquet operations and audiovisual technology. Job Requirements
- Bachelor's degree in hospitality management or related field preferred
- Minimum 3 years of experience in hotel event management or related role
- Proven ability to manage multiple concurrent events efficiently
- Strong communication and interpersonal skills
- Proficiency with event management software and hotel property management systems
- Ability to work non-traditional hours including evenings, weekends, and holidays
- Detail-oriented with excellent organizational skills

Job Duties
- Serve as the primary point of contact for clients after the sales process is complete
- Plan and coordinate all aspects of meetings, conventions, and special events
- Conduct pre-convention meetings to review event details, timelines, and service expectations
- Create and distribute detailed Banquet Event Orders (BEOs) for internal departments
- Maintain consistent communication with clients to ensure event expectations are met or exceeded
- Oversee on-site event execution including meetings, conferences, weddings, and social events
- Coordinate with banquet, culinary, audiovisual, housekeeping, and front office teams
- Monitor room setups, event flow, and service delivery during programs
- Address client requests and resolve issues promptly to ensure guest satisfaction
- Work closely with the Sales, Banquets, Culinary, and Operations teams to ensure seamless event delivery
- Conduct site inspections and event walkthroughs with clients
- Ensure accurate documentation and communication of all event requirements
- Supervise event setups and breakdowns to ensure adherence to hotel standards
- Assist with reviewing event contracts, budgets, and final billing
- Track event revenue and support profitability goals
