Job Description

The Collaboration Core is an integral part of the University of Washington's College of Engineering, focused on fostering interdisciplinary research and collaborative efforts across various engineering domains. The Events Manager position at the Collaboration Core plays a pivotal role in producing and managing a wide array of events that serve the research units within the College of Engineering. This role requires close collaboration with institute directors, faculty members, research staff, and administrative personnel to ensure successful implementation and execution of events. Reporting directly to the Associate Director of Operations, the Events Manager is responsible for managing logistics, coordinating communications, administering budgets, and providing day-of-event support to maximize the impact and smooth running of these events.

This full-time, regular position offers a competitive salary range from $70,440 to $80,040 annually and aligns with the first shift schedule. The Events Manager must possess a strong background in event planning, particularly within academic or technology-focused environments, bringing creativity, organizational prowess, and excellent communication skills to the role. Responsibilities include organizing research seminars, conferences, workshops, and presentations, while managing all logistical aspects such as travel arrangements, venue setup, equipment rentals, and event materials. The role also encompasses designing promotional materials, maintaining participant databases, and overseeing financial management related to event budgeting and vendor contracts.

In addition to managing events, the Events Manager contributes to the continuous improvement of event processes through planning and debrief meetings and maintaining meticulous records of activities and expenses. They are expected to stay current with emerging trends in event management and marketing by engaging with industry resources, seminars, and peer institutions, ensuring the Collaboration Core remains at the forefront of best practices.

The position demands an individual capable of working in a dynamic, fast-paced environment with a commitment to diversity and equity, collaborating effectively across interdisciplinary teams. The ability to work independently, handle multiple priorities simultaneously, and demonstrate problem-solving and analytical skills is crucial.

Job Requirements

  • Bachelor's degree in liberal arts, communications, design and/or related fields or equivalent experience
  • At least two years of experience managing events in an academic research and education environment or science, engineering, or technology-focused organization
  • Ability to work occasional evenings, weeknights, and weekends for events
  • Willingness to travel occasionally outside UW for institute partner events
  • Must meet minimum qualifications to be forwarded to the Hiring Manager

Job Qualifications

  • Bachelor's degree in liberal arts, communications, design and/or related fields or equivalent experience
  • At least two years of experience managing events in an academic research and education environment or science, engineering, or technology-focused organization
  • Excellent written, verbal and interpersonal communication skills
  • Excellent design skills
  • Demonstrated ability to conceive, implement, and evaluate creative event strategies
  • Experience executing large events or conferences
  • Advanced knowledge of MS Office including Outlook, Excel, Access, and Word
  • Demonstrated problem solving and analytical skills
  • Proven organization and multitasking skills in a fast-paced environment
  • Demonstrated commitment to diversity, equity and ability to form productive working relationships with diverse individuals
  • Ability to work collaboratively and independently with a high degree of reliability, accuracy, and productivity

Job Duties

  • Organize and provide support for events such as research seminars, conferences, workshops, presentations, lab openings, and networking events
  • Lead planning and debrief meetings with directors and staff, tracking action items and recommendations for continuous process improvement
  • Manage event logistics including travel arrangements, workback plans, meeting schedules, space reservations, equipment rentals, and event materials and decor
  • Develop agendas and draft invitations, reports, surveys, and other professional correspondence
  • Provide day-of event support, arranging furniture, accepting deliveries, organizing meeting materials, welcoming guests, and tracking attendance
  • Close up spaces after events, returning furniture, supplies, and refreshments to permanent storage
  • Manage inventory of all Collaboration Core event supplies, including food and beverages, linens, A/V equipment, and branded materials
