Job Description

The Institute for Healthcare Policy and Innovation (IHPI), established in 2011, is a nationally recognized, university-based institute specializing in health services research. IHPI consists of over 850 health services researchers who focus on evaluating healthcare systems and exploring ways to improve health care delivery through rigorous, evidence-based research. The institute's research is designed to influence health policies and clinical practices to achieve better patient outcomes and efficient healthcare delivery. IHPI's membership spans multiple disciplines and includes faculty and staff from various schools, colleges, and programs across the University of Michigan campus, the U-M health system, and the medical school. The role of the Meetings and Special Events Manager at IHPI is critical in ensuring the seamless execution and coordination of a wide variety of events that support the Institute's goals and foster community among its members. This full-time, exempt position, located at the Ann Arbor campus, offers a hybrid work model allowing 1-2 days onsite weekly and flexible arrangements depending on departmental needs. Reporting under the Medical School’s umbrella, this position provides the opportunity to engage with a vibrant academic environment deeply committed to healthcare excellence and innovation.

The Meetings and Special Events Manager is responsible for overseeing all IHPI events, which include major annual gatherings such as the Member Forum, National Advisory Board Meeting, the Director’s Lecture, and Member Tailgate, alongside numerous seminars, symposia, webinars, receptions, and other special activities. The manager will work collaboratively with a dynamic, interdisciplinary group of members and stakeholders, ensuring that each event is meticulously planned, executed, and evaluated for success. This requires exceptional organizational skills, the ability to manage multiple projects simultaneously, and clear, effective communication.

Key responsibilities involve selecting appropriate venues, managing vendor contracts for catering, audiovisual services, and event rentals, as well as coordinating promotional materials and member engagement activities. The manager plays a pivotal role in budgeting for events, managing finances, and reconciling costs. Post-event evaluation through surveys and metrics analysis is a vital component, allowing the institute to monitor the success and impact of its events. This role also includes project management duties assigned by IHPI leadership, requiring flexibility, initiative, and problem-solving capabilities.

An ideal candidate for this role will have a bachelor’s degree coupled with at least five years of progressively responsible experience in event management or a related administrative role. Experience in managing complex projects, working within fast-paced environments, and familiarity with relational databases and project management software is essential. Proficiency in Microsoft Office applications and web-based email marketing tools like Constant Contact or MailChimp is highly desirable. The successful candidate must demonstrate a customer service-oriented attitude, exceptional detail orientation, independent work ethic, and the ability to communicate effectively with diverse individuals at different organizational levels.

Job Duties

  • Oversee and execute all IHPI events including major annual events and numerous seminars webinars symposia and receptions
  • manage facility selection and contract negotiations including event rentals food and beverage catering florists and audio visual services
  • provide event planning consultation and assistance to faculty members partner programs and affiliated Centers and Programs
  • select order and disseminate custom IHPI promotional materials such as shirts pens and lanyards
  • recommend and coordinate additional activities and events to maintain and stimulate member engagement
  • update and maintain the IHPI events calendar as needed
  • develop and manage the annual events budget conduct reconciliations and periodic reports on activity costs
  • develop and administer post-event surveys compile results and create summary reports monitor metrics to determine the success of events
  • coordinate the development implementation and administration of a variety of moderate to complex projects as directed by IHPI leadership
