The American Jazz Museum is a renowned cultural institution dedicated to preserving and celebrating the rich heritage of jazz music and its profound impact on American culture. Located in the historic 18th & Vine District, the Museum serves as a dynamic hub for jazz enthusiasts, scholars, musicians, and the general public. It offers a diverse range of exhibits, educational programs, and live performances to foster appreciation and understanding of jazz as a vital art form. The museum's facilities include the AJM Atrium, the Gem Theater, and the Blue Room, all carefully designed to accommodate a variety of events and gatherings. Each space is curated to provide an authentic atmosphere that honors the legacy of jazz while meeting modern event needs.\n\nThe Event Manager position at the American Jazz Museum is a full-time, hourly role within the Operations department, reporting directly to the Director of Finance and Operations. This role is pivotal in ensuring the seamless coordination and execution of all facility rentals and private events held across the Museum's venues. The Event Manager acts as the primary liaison for clients throughout the entire event planning process—from the initial inquiry and scheduling to on-site event execution—while collaborating closely with the House Manager. The role demands exceptional organizational skills, meticulous attention to detail, and the ability to manage multiple events concurrently, ensuring that every event reflects the Museum’s standards for professionalism and operational excellence. This position does not involve handling payments or invoicing, nor does it include supervisory responsibilities; rather, it focuses on the logistical and client-facing aspects of event management. Furthermore, the Event Manager is responsible for maintaining comprehensive event documentation, timelines, and client communications using the Planning Pod software platform, thereby streamlining coordination workflows and enhancing overall efficiency.\n\nAs the key person responsible for event rentals, the Event Manager coordinates logistics for a diverse array of events, ranging from private celebrations to corporate and community gatherings, ensuring compliance with Museum policies, safety standards, and facility use guidelines. Contract development is part of the role, requiring the drafting and revision of rental agreements aligned with established pricing and operational protocols; however, final approvals for contracts rest with senior leadership. On event days, the Event Manager provides crucial on-site support, managing setup, vendor coordination, and load-in/load-out activities to ensure smooth event flow. This role also emphasizes client satisfaction, aiming to cultivate positive relationships that encourage repeat business. Working hours include weekdays and weekends, with flexibility required to accommodate evening and weekend events. Overall, the Event Manager plays a vital role in enhancing the American Jazz Museum’s mission by delivering outstanding event experiences that honor both the cultural significance of jazz and the professional standards of the institution.

Job Duties
- Coordinate all rental logistics for private, corporate, community, and partner events held in Museum venues
- serve as the primary point of contact for event clients for scheduling, site visits, timelines, logistics, and event details
- manage event coordination from inquiry through completion, excluding payment processing
- develop and maintain event documentation, timelines, checklists, and client-facing materials
- ensure all events comply with Museum policies, safety requirements, and facility use guidelines
- draft, revise, and prepare all rental agreements and event-related contracts for client events
- ensure contract terms align with Museum policies, pricing structure, and operational standards
- be onsite during events (weekdays and weekends) to support execution and logistics
- work in tandem with the assigned House Manager during events to ensure timelines, setup, vendor coordination, and event flow are executed as planned
- serve as the coordination lead during events, addressing issues promptly and professionally
- oversee load-in, load-out, room setup, vendor arrivals, and adherence to event schedules
- utilize Planning Pod as the primary software platform to manage rental inquiries, event details, timelines, documentation, and coordination workflows
- escalate issues as needed to the Director of Finance and Operations
- provide a high-quality, professional client experience that supports repeat business and positive relationships
- communicate event requirements clearly with internal stakeholders to ensure alignment
- coordinate closely with the Director of Finance and Operations on scheduling, priorities, and operational needs
- provide feedback on event operations, process improvements, and recurring issues
- maintain accurate records of event schedules, contracts, timelines, and logistics
- track event activity and provide updates or summaries as requested
- ensure all event documentation is completed and retained according to Museum procedures
- maintain accurate and up-to-date event records within Planning Pod, including schedules, timelines, client details, and event documentation
- work full-time, 40 hours per week
- provide weekday and weekend availability to meet event schedules
- be present onsite during scheduled events, including evenings and weekends as required.
