Colleton River Club is a prestigious private club known for its exceptional amenities, impeccable service, and dedication to providing a superior member experience. Situated in a scenic location, the club offers world-class golf, tennis, aquatics, dining, and social events designed to foster a vibrant community among its members. As a full-service facility, it hosts a wide range of events, including member socials, corporate gatherings, weddings, holiday celebrations, and nonprofit functions. The position available is a key role within the Food & Beverage team, reporting directly to the Director of Food & Beverage or Clubhouse Manager. This role is essential to managing all club events to the highest standard, ensuring that each event is flawlessly executed and meets or exceeds member expectations. Serving as the primary liaison between the Clubhouse Manager and Colleton River Club members, the Event Coordinator manages numerous events concurrently, making sure that every detail is carefully planned and orchestrated.
Responsibilities include conceptualizing, budgeting, contracting, planning, and coordinating a diverse array of events, including specialized member events such as tennis, golf, aquatics, wine programs, and more. Corporate, nonprofit, holiday, social, and wedding events also fall under this role's purview. The Event Coordinator must develop clear and detailed room diagrams and event orders covering all aspects like food and beverage requirements, timelines, setup, and decor. Additionally, the role involves assisting members with hiring and coordinating outside vendors for entertainment, linens, florals, and audiovisual needs, ensuring seamless collaboration.
Financial management is a key component of the position, including budgeting, deposits, final payments, and processing vendor invoices. The Event Coordinator is responsible for making informed decisions that go beyond member and guest expectations, always aligning with the best interests of the Colleton River Club. The role demands excellent organizational skills, effective communication, and the ability to manage inquiries and requests efficiently, with a commitment to responding to members within 48 hours. Attending weekly BEO meetings and supporting internal and external partners with historical event details and current industry trends further strengthens the position's impact.

Job Requirements
- Three to five years' experience in hospitality or event planning
- previous private club or hotel catering/events experience
- bachelor’s degree preferred
- strong communication and organizational skills
- proficiency in Microsoft Office and Adobe Acrobat
- flexibility to work evenings, weekends, and holidays
- ability to manage multiple events simultaneously
- physical ability to stand for extended periods, lift up to 20 pounds, and move event furniture
- valid driver license for operation of vehicles including golf carts and trucks
Job Qualifications
- Three to five years' experience in hospitality, catering, and event environment planning sophisticated events
- previous experience at a private club or hotel in Catering/Events
- bachelor’s degree preferred with emphasis in Hospitality or Event Management
- experience managing and planning weddings and events
- knowledge of logistics involved in planning and executing complex events
- proven track record of delivering projects on time and within budget
- strong analytical and problem-solving skills
- effective communication skills including written and verbal
- excellent administrative, telephone, organizational, and interpersonal skills
- proficient in Microsoft Office, Adobe Acrobat, and internet capabilities
- experience with Jonas software a plus
- able to flex work schedule including evenings, weekends, holidays
- experience with Delphi, Jam, Prismm, or Social Tables a plus
Job Duties
- Preserve the Colleton River Club member experience without hindering the event experience for hosting members and guests
- conceptualize, budget, contract, plan, and coordinate all aspects of events including member events, holidays, socials, corporate, nonprofits, and weddings
- create clear and concise room diagrams and detailed event orders
- assist members with hiring and coordinating outside vendors
- build and maintain positive relationships with members, catering event hosts, internal partners, and vendors
- handle member and guest inquiries, questions, concerns, complaints

- provide onsite support for set-up, teardown, event flow, and registration
- manage all requests and inquiries within 48 hours
- participate in industry functions and maintain professional development
