Job Description

We are currently seeking an experienced and motivated Events Manager to join the Butler School of Music team. This full-time, exempt position offers a competitive salary ranging from $50,000 to $55,000 annually, depending on qualifications, and entails a 40-hour workweek with a flexible schedule to accommodate the school’s dynamic event calendar. The anticipated start date for this role is August 3, 2026, with an ongoing position duration.
The Events Manager plays a critical role in overseeing the logistical and technical execution of public performances held in the Butler School of Music’s three main performance venues. This position will manage facility rental contracts and logistics, acting as a central liaison between the school, campus departments, rental clients, and community partners. Reporting directly to the Assistant Director for Operations, the Events Manager supervises a team of part-time student event managers, ensuring that events run smoothly and efficiently.
Key responsibilities include coordinating the operation and maintenance of performance halls, managing equipment moves such as choral shells and platform risers, and addressing maintenance needs promptly. The role involves coordinating safety plans and incident reporting in partnership with college personnel and performing basic upkeep tasks to maintain the venues in excellent condition. The Events Manager also handles the hiring, training, and scheduling of student event staff, develops training materials, and supports large productions with thorough preparation and supervision.
Furthermore, the position oversees rental contracts from initial inquiries through invoicing and fee collection, working closely with the business office to finalize agreements. The Events Manager serves as a liaison for external entities utilizing Butler School facilities, coordinating with other University of Texas departments for event hosting and managing essential inspections such as those involving canopy safety systems.

- Basic experience with Element Light Boards preferred
- Demonstrated ability to manage complex responsibilities with minimal supervision preferred
Job Duties
- Acts as point person for faculty, students, and rental entities regarding operation and condition of performance venues
- Coordinates equipment moves including choral shells, platform risers, and choral risers
- Updates building manager on maintenance needs
- Coordinates safety plans, security presence, and incident reporting
- Performs basic maintenance and upkeep in performance halls
- Maintains backstage door codes for Jessen Auditorium
- Hires, trains, and schedules student event managers
- Updates training and handbook materials
- Supervises large performance events
- Prepares production reports
- Provides annual training for TAs with ensemble production roles
- Manages rental contracts from scheduling to invoicing and fee collection
- Coordinates equipment moves and event staff for rental events
- Serves as liaison for university departments hosting events in Butler facilities
