Pittsburgh Botanic Garden is a renowned cultural and natural landmark located in the Pittsburgh area, celebrated for its stunning outdoor spaces and commitment to environmental stewardship and community engagement. As a leading destination for visitors seeking tranquility, beauty, and educational opportunities within botanical settings, it offers a variety of programs, gardens, and recreational activities that enhance quality of life and foster community connection. The Garden attracts individuals, families, and corporate groups who cherish outdoor experiences and value unique, memorable venues for personal and professional milestones. It is a non-profit organization focused on sustainability, conservation, and education, making it a distinguished establishment within the region's cultural and environmental landscape.
The role of Events Manager at Pittsburgh Botanic Garden is pivotal to bringing celebrations to life in one of the area's most beautiful settings. This full-time position involves leading the private events program with an emphasis on building lasting relationships with clients, driving revenue through strategic sales and marketing efforts, and ensuring flawless execution of events ranging from weddings and corporate gatherings to community celebrations. Reporting directly to the Visitor Experience and Events Director, the Events Manager supervises the events team and collaborates extensively with clients, caterers, rental companies, vendors, volunteers, and internal Garden staff to deliver exceptional experiences.
The Events Manager holds accountability for meeting or exceeding quarterly rental and alcohol revenue goals as outlined in the Garden's annual budget, requiring a proactive and strategic approach to sales planning and client relationship management. This includes preparing detailed reports on rental and alcohol revenue, tracking key sales metrics, and analyzing data to inform continuous improvement of the events program. Furthermore, the position demands strong business acumen in developing leads, nurturing partnerships with corporations and organizations, and maintaining an active presence within event planning and production communities.
Customer service excellence is central to the role, as the Events Manager provides warm, professional engagement through responding to event inquiries, scheduling and conducting site tours, and guiding clients throughout the booking process while aligning expectations through clear communication of rental policies and procedures. Collaboration with vendors and partners ensures seamless event delivery, including handling contracted add-ons and special touches, managing timelines, processing payments, verifying contracts and licenses, and ensuring compliance with insurance requirements.
Leadership and team management are core components of the position, with responsibility to lead, coach, and mentor Event Coordinators and Assistants by fostering a positive work environment, clear communication, motivation, and accountability. The Events Manager also oversees the physical readiness of event spaces, guaranteeing cleanliness, proper setups, and readiness for each rental.
In addition to operational duties, the role extends to marketing and communications, including managing content for the private events Instagram account and maintaining up-to-date listings on platforms such as The Knot, WeddingWire, and Here Comes the Guide. The Events Manager ensures event packages are current with accurate information, pricing, and offerings to appeal to diverse clienteles.
Day-of event management represents a critical function of the position, with the Events Manager serving as the point person to maintain schedules, address unforeseen issues, and ensure smooth execution. The role also involves researching, analyzing, and developing special events that contribute to the Garden's financial health and support its broader mission. Collaboration across departments enhances the Garden's programs and initiatives, furthering its visibility and long-term success.
The salary range for this position is $52,000 to $59,000, reflecting the full-time employment status and the significant responsibility entrusted to the Events Manager. This opportunity suits a motivated professional energized by creating exceptional experiences, building strong relationships, leading teams, and working in a unique, natural environment that inspires celebration and community connection.
