The role of Events Manager at BYU is integral to the success of the university's career services and campus event initiatives. This full-time position, with a typical starting pay range of $59,000 to $75,500 depending on experience and qualifications, involves overseeing the strategy, design, management, revenue, and reporting for all campus career fairs and career services events. The Events Manager supports both internal and external campus partners, ensuring the successful planning and execution of a wide variety of events ranging from large career fairs to intimate employer information sessions, open houses, workshops, and speaker series. This role is vital for maintaining strong relationships with campus constituents and external organizations, ensuring adherence to university policies, and enhancing the overall employer and student event experience.

The Events Manager is responsible for managing event logistics, coordinating with various campus departments such as facilities, campus police, and catering to ensure seamless event execution. The role includes managing volunteer staff, maintaining event webpages, and providing comprehensive reports on event outcomes. Supervising approximately three student employees, the manager facilitates their professional development and conducts performance reviews, emphasizing team collaboration and effective work management. Additionally, collaboration with the Marketing & Communications Director and the Associate Director of Employer Engagement and Recruiting is fundamental to driving the strategic direction and increasing awareness of Career Services events.

Beyond logistical oversight, the Events Manager plays a strategic role in event and fair planning, establishing goals, timelines, and success metrics, and analyzing data to continuously improve event impact. They also handle budget oversight, income collection, and expenditure tracking for large career fair events. This position requires exceptional organizational skills, the ability to handle high-volume, detail-oriented work, and proficiency with various technology platforms including Microsoft Office, client management systems like Handshake or Salesforce, and social networking tools. Strong communication and interpersonal skills are essential to negotiate the needs of multiple stakeholders and foster positive, professional relationships.

Job Qualifications

  • 3+ years' experience in event planning, administrative services, or hospitality

Job Duties

  • Execute large and small-scale campus-wide career fairs, employer information sessions, student open houses, workshops, and speaker series
  • Track event activity and manage registration data, provide timely reports to internal stakeholders
  • Serve as a primary campus contact for personnel from participating organizations
  • Coordinate events with campus scheduling, facilities, campus police, and building personnel to ensure space and safety needs are met
  • Liaise with BYU Catering and other vendors to provide meals, hospitality, and event services
  • Manage, assign, and train 50+ volunteers for large events and fairs
  • Oversee career fair and event-related webpages on the Career Services website
  • Provide support to on- and off-campus entities' sponsored events
  • Develop positive professional relationships and respond to unique recruiting needs
  • Ensure all events and recruiting activities follow university on-campus recruiting policies
  • Support the Office Manager in planning staff trainings, retreats, and department-wide initiatives
  • Collaborate with the Marketing & Communications Director to coordinate strategy, design, and management of Career Services participation in campus events
  • Hire, train, and supervise approximately 3 student employees
  • Facilitate professional development and leadership opportunities for student staff
  • Conduct bi-annual performance reviews and make recommendations regarding student wage increases
  • Ensure effectiveness of staff and student work and conduct disciplinary conversations when needed
  • Support the Associate Director of Employer Engagement & Recruiting in executing employer engagement and recruiting initiatives
  • Assist with employer outreach and engagement related to career fairs and recruiting programs
  • Coordinate employer-facing communications related to recruiting timelines and event participation
  • Support campus partners in expanding employer outreach efforts and aligning employer engagement goals with Career Services priorities
  • Contribute to assessing employer engagement outcomes and recruiting effectiveness
  • Identify opportunities to enhance employer participation and recruiting success
  • Oversee strategy and design for all Career Services events and fairs
  • Collaborate with colleagues, faculty, and staff to establish goals, timelines, and success metrics
  • Direct reporting and analytics for career fairs and events
  • Identify key performance indicators and utilize insights to improve employer and student satisfaction
  • Make strategic recommendations on involvement of appropriate faculty, staff, and other university departments
  • Oversee income collection and track expenditures for large fair budgets
  • Facilitate career fair committee meetings to implement strategy
  • Serve as a primary liaison with campus partners regarding Career Services led events
  • Collaborate with colleagues at other higher education institutions to plan shared events
