Job Description

The hiring organization is a Chamber of Commerce that plays a pivotal role in fostering economic growth, community development, and effective government affairs within its region. As a key advocate and collaborative partner for businesses and organizations, the Chamber focuses on delivering engaging events that align with its strategic initiatives and priorities. These events serve as vital platforms for networking, resource sharing, development opportunities, and advocacy, contributing significantly to the chamber's mission to support and nurture a thriving economic ecosystem.

The organization is looking for an experienced Events Manager to join its Communications department. The Events Manager position is a dynamic role that calls for both tactical execution and strategic coordination to support the Director of Events. This professional will work closely with internal stakeholders across departments, as well as with external clients and vendors, to facilitate the smooth and successful production of a variety of Chamber events. These events include Government Affairs meetings, Community Development forums, Economic Development gatherings, and Resource Development activities, each bearing distinct goals and audience engagement strategies.

In this role, the Events Manager will serve as the primary lead on event days, overseeing all logistical details including vendor management, scheduling, and on-the-ground execution. The position requires strong decision-making skills to make autonomous budget adjustments and prioritize resources effectively within pre-approved financial parameters. Monitoring expenditures meticulously to ensure alignment with the master budget and maintaining financial accuracy throughout the event planning process is a critical responsibility.

The ideal candidate will also provide strategic input toward event programming, ensuring alignment with overarching organizational goals and contributing insights that enhance event impact. They will manage the inventory and transportation of event collateral, making certain that all materials, signage, and supplies are delivered promptly and are accurately accounted for both before and after each event.

A key element of the role is post-event evaluation, where the Events Manager will contribute to survey creation, summarize findings, and present results for debrief sessions. Drawing on data and event performance analysis, they will recommend continuous improvements to resource allocation and future planning. Vendor negotiations, selection, contingency planning, and complex issue resolution require independent judgement and a proactive approach.

Project management for event logistics and team coordination falls under the Events Manager's purview as well, necessitating strong organizational and problem-solving skills. The role operates within a fast-paced and often pressured environment demanding the ability to juggle multiple priorities and meet tight deadlines while maintaining high-quality service standards and a collaborative working style.

Job Duties

  • Serve as the primary event-day lead managing logistics vendors timelines and execution for assigned and co-managed events including Government Affairs Community Development Economic Development and Resource Development
  • Make autonomous decisions on budget adjustments and resource prioritization within approved financial parameters to achieve objectives
  • Monitor all event-specific expenditures ensuring alignment with the master budget providing updates flagging potential overages and maintaining financial accuracy throughout planning
  • Provide strategic input on event programming and alignment with organizational goals ensuring events support broader initiatives
  • Manage the inventory transport and placement of event-day collateral ensuring all materials signage and supplies are delivered on time properly placed and accurately accounted for before and after each event
  • Contribute to post-event surveys then summarize and present results for debrief review analyzing event performance data and recommending improvements to influence future planning and resource allocation
  • Implement event strategies including vendor selection contract negotiations and contingency planning while exercising independent judgment to resolve complex issues
  • Serve as a lead in project management for event logistics and team coordination
  • Perform other incidental and related duties as required and assigned
