The role of Events Manager at the Napa Institute is an opportunity for a mission-driven professional to play a pivotal role in the planning, coordination, and flawless execution of the Institute’s signature events. This position reports directly to the President and works collaboratively with multiple internal teams and external partners. The Events Manager leads every logistical detail from venue negotiations, budget oversight, vendor management, scheduling, and on-site event supervision through post-event wrap-up and reporting. This comprehensive responsibility ensures that each event not only meets budgetary and scheduling parameters but also upholds the high standards and mission-centric vision of the Institute.

Job Requirements
- Bachelor’s degree preferred
- 3-5 years of event management experience
- proficiency with Microsoft Office Suite

Job Duties
- Negotiate and manage venue contracts, ensure favorable terms
- review all contracts with senior leadership before execution
- coordinate with external partners such as St. Paul Center Team and NYPD
- collaborate with President and accounting to prepare event budgets
- monitor event expenditures to ensure budget compliance
- oversee timely payment of invoices and vendor services
- create and manage event registrations through the Napa Institute website
- communicate event details to attendees and stakeholders
- manage invitation lists, confirmations, and guest management
- develop and maintain detailed event schedules
- confirm schedules with President and speaker committees
- coordinate speakers, prelates, and liturgical participants including invitations and travel logistics
- liaise with venue managers, caterers, and vendors such as A/V, photography, and décor
- review and approve Banquet Event Orders
- oversee transportation, accommodations, and timing for all participants
- manage daily operations during events ensuring all activities run on time
- supervise staff, volunteers, interns, and liturgical assistants
- troubleshoot and resolve issues in real-time
- complete post-event financial reconciliation and ensure all vendors are paid
- provide post-event reports and recommend improvements
