Job Description
Napa Institute, located in Irvine, California, is a faith-centered organization dedicated to deepening the relationship of individuals with Jesus Christ and their fellow Christians. Founded over a decade ago, the Napa Institute has been a unique platform for Catholic conferences that offer opportunities not just for spiritual growth but also for authentic fellowship and friendship among participants. Known for its signature events such as the Summer Conference, Faith and Business Conference with Eucharistic Procession in New York City, Msgr. The Napa Institute is currently seeking a mission-driven, detail-oriented Events Manager to join their collaborative team. This pivotal role involves planning, coordinating, and executing the institute's major conferences and special events alongside the internal staff and external partners. The chosen candidate will play an essential role in sustaining the high standards of the Napa Institute by ensuring that all events are delivered with excellence, within budget, and are consistent with the mission and vision of the organization.
In this role, the Events Manager will work closely with President Tim Busch, accounting staff, and various external partners to oversee contracts, manage schedules, coordinate vendors, and handle logistics. The manager serves as the central point of communication and coordination, bridging the gap between the internal team and outside collaborators to guarantee a seamless execution of events. This person should thrive in a fast-paced, high-profile environment and be able to bring teams together under a unified objective.
Operating out of the Irvine office, this position requires occasional travel to other event locations and flexibility in working hours during major events and special projects. The Events Manager will be responsible for a wide range of activities including negotiating and managing venue contracts, monitoring financial budgets, managing registrations and communications, developing event programs, coordinating speakers and liturgical participants, overseeing vendor logistics, and handling on-site event management. They will also oversee post-event activities to review outcomes, complete financial reconciliations, and provide recommendations for future improvements.
This job offers an annual salary range of $70,500 to $90,000 and the chance to contribute meaningfully to a faith-based environment. The ideal candidate will possess strong organizational and project management skills, excellent communication abilities, proficiency in Microsoft Office and event management tools, and at least 3 to 5 years experience in event management within faith-based or nonprofit organizations. A bachelor’s degree is preferred. Beyond technical competencies, a deep commitment to the Napa Institute’s Catholic mission and values is essential.

Job Duties
- Negotiate and manage venue contracts
- review contracts with the President and Tim Busch before execution
- coordinate with external partners such as St. Paul Center Team and St. Patrick's Cathedral
- collaborate with President and Accounting to prepare event budgets
- monitor expenditures to ensure events stay within budget
- oversee timely payment of invoices and vendor services
- create and manage event registrations through the Napa Institute website
- ensure accurate and timely communication of event details
- oversee invitation lists, save-the-dates, confirmations, and guest management
- develop and maintain detailed event schedules
- confirm schedules with the President, Tim Busch, and speaker committees
- coordinate speakers, prelates, and liturgical participants including invitations, travel, and logistics
- serve as liaison with venue event managers, caterers, and vendors like A/V, photography, décor, choir
- review and approve Banquet Event Orders for accuracy
- oversee transportation, accommodations, and timing for participants
- oversee daily operations during events ensuring timely flow of meals, presentations, liturgies, entertainment, and sponsored events
- manage select staff, volunteers, interns, and liturgical assistants
- troubleshoot and resolve issues in real-time
- ensure all outstanding items are resolved after events
- complete final financial reconciliation and ensure vendor payments
- provide post-event reports and recommendations for improvement
