Job Description

Wichita State University (WSU) is an accredited public research university located in Wichita, Kansas. Known for its commitment to academic excellence, innovation, and community engagement, WSU offers a diverse range of programs and services designed to support the growth and success of its students, faculty, and staff. The university campus includes multiple departments and offices dedicated to facilitating effective operations and enhancing the student and community experience. One such vital department is the Office of University Conferences, which plays a critical role in coordinating various events and conferences that contribute to the University's mission of fostering education and collaboration among different stakeholders.

The Office of University Conferences at WSU Metroplex is currently seeking a full-time Conference Coordinator to join their dynamic team. The position offers a competitive pay rate starting at $22.02 per hour, commensurate with experience, and operates primarily on a Monday through Friday schedule from 8:00 AM to 5:00 PM, with occasional evening and weekend hours as needed. This role is ideal for a highly organized and detail-focused individual capable of managing conferences, meetings, and large-scale events with significant impact at the University level.

The Conference Coordinator will be responsible for the end-to-end management of event planning and execution, ensuring all aspects of conferencing are handled efficiently and professionally. As a key figure in the event management process, the Coordinator will develop, coordinate, and implement strategic planning for events, working closely with both campus and community stakeholders to guarantee successful event outcomes. In addition to logistical coordination, this role involves vital communication with vendors, sponsors, speakers, and other participants, making strong relationship management skills essential.

The role demands a blend of project management expertise and hands-on event execution capabilities. The successful candidate will coordinate venue selection, catering, travel arrangements, audiovisual needs, and accommodations while overseeing registration processes and budget management. They will also handle on-site event operations, troubleshoot issues in real-time, and prepare materials such as agendas and post-event reports. Collaboration with marketing and communications teams is necessary to promote events effectively and align them with the University's objectives.

Moreover, the Conference Coordinator will assist in or lead the negotiation of contracts relevant to event services and amenities. They will maintain detailed event calendars and records to ensure aligned programming and optimal scheduling. Part of the role includes conducting post-event evaluations to assess the success of events and recommend improvements for future activities. The Coordinator must also ensure compliance with health, safety, and risk management standards applicable to all University events.

Candidates should have at least a high school diploma or equivalent, coupled with two years of experience in office administration, event coordination, or a related field. While not mandatory, a bachelor’s degree and additional years of experience in event coordination are preferred. The position requires proficiency in various skills including budgeting, vendor and stakeholder management, audiovisual technical requirements, and the use of registration systems. A candidate capable of adapting quickly to last-minute changes, working under pressure, and managing multiple priorities simultaneously will excel in this role.

In summary, this Conference Coordinator position at Wichita State University offers a challenging yet rewarding opportunity for an individual looking to contribute to meaningful university events and conferences. By joining the Office of University Conferences, the successful applicant will play an integral part in facilitating collaborative educational and community programs, making a tangible difference in the campus and regional environment.
