The Department of Biostatistics at UW is currently seeking a part-time (0.5 FTE) Events Manager, also titled Program Operations Specialist, to join the Genetics Analysis Center (GAC) team. This role reports directly to the Senior Research Scientist and plays a pivotal role in the successful planning and execution of in-person meetings (IPMs) for various NIH-funded genomic research consortia coordinated by the GAC. The GAC serves as a coordinating center, delivering essential scientific and administrative support to national and international consortia, including data curation, program outreach, and logistics coordination.
In this position, you will be entrusted with managing all aspects of IPM logistics, including scheduling, venue coordination, catering, technology setup, and vendor interactions. You will act as the central point of contact for vendors and stakeholders during events and represent the GAC to consortium members and NIH staff. This role requires traveling domestically to meeting locations and the ability to independently handle complex, fast-paced event environments with professionalism and adaptability.
The Events Manager also supports program communications, responding to inquiries and disseminating logistical information to ensure smooth meeting operations and exceptional participant experiences. Additional responsibilities include managing meeting budgets, tracking expenses, and maintaining event documentation and standard operating procedures in alignment with federal, state, and local regulations. The role offers an important opportunity to directly contribute to the success and impact of high-profile biomedical research collaborations by ensuring the flawless delivery of critical in-person convenings.
This is a regular part-time position with the salary range prorated from a full-time equivalent annual range of $75,000 to $92,064. Benefits available to UW staff include health insurance, retirement plans, paid leave, professional development resources, and more. The position aligns with first shift hours and provides a unique chance to grow within a top-tier academic research environment. There is potential to increase the full-time equivalent if additional projects requiring event planning are acquired by the GAC. Job Requirements
- Bachelor's degree in communications, science, or other scientific or communications/business field, or equivalent experience
- 2 years' experience in project management, events management, hospitality, or a related field
- Ability to travel domestically to in-person meetings
- Strong organizational skills and attention to detail
- Excellent communication and interpersonal skills
- Proficiency in Google Workspace, Microsoft Office, and virtual meeting platforms
- Ability to work independently and as part of a team
- Demonstrated adaptability and problem-solving skills in dynamic environments
Job Qualifications
- Bachelor's degree in communications, science, or related field, or equivalent experience
- At least 2 years experience in project management, events management, hospitality, or related field
- Ability to quickly learn and master new software and technologies
- Proven ability to work independently with sound judgment and proactive problem solving
- Highly organized with strong multitasking and prioritization skills
- Excellent written, verbal, and interpersonal communication skills
- Proficiency with Google Workspace and Microsoft Office products
- Experience hosting virtual meetings using Zoom or similar technology
Job Duties
- Envision, plan, and manage in-person meeting logistics as the coordinating center expert
- Lead the scheduling, room setup, registration, catering, and attendee experience
- Act as primary on-site coordinator managing setup, registration, vendor coordination, and event breakdown
- Resolve unexpected issues and adapt to changing priorities professionally
- Develop and manage meeting communications including tracking and responding to inquiries
- Coordinate relationships with vendors including venues, catering, A/V providers, and security
- Manage budgets by tracking expenses and reporting to project leadership
- Administer post-meeting evaluations and maintain event documentation
- Provide operational support including virtual meeting hosting and shared communications
