Established in 2016, Wellness Together is committed to delivering accessible, school-based mental health services to children and families across California. The Events Lead role at Wellness Together is a strategic, creative, and highly organized leadership position responsible for the comprehensive execution of key organizational events, including flagship, virtual, and hybrid gatherings. Reporting directly to the Senior Director of Outreach & Engagement, this role carries the accountability of managing all aspects of event planning and delivery — from initial concept through to post-event assessment. This includes owning master project timelines, forming and maintaining relationships with vendors and venues, tracking budgets meticulously, and ensuring a seamless attendee experience.
As the primary project manager for Wellness Together's events, the incumbent will develop detailed master plans and milestone tracking systems that ensure multiple event workstreams proceed smoothly and on schedule. They manage real-time live-event operations both virtually and on-site, acting as a calm, resourceful problem solver when challenges arise. Maintaining an up-to-date hosted-events calendar is essential, allowing stakeholders comprehensive visibility into upcoming events and resource allocation. The Events Lead proactively identifies potential conflicts or resource bottlenecks and communicates these issues promptly to leadership for resolution.
Vendor and venue management are pivotal responsibilities, requiring the sourcing and negotiation with providers including venues, audiovisual teams, caterers, and technology partners. The lead manages contracts and serves as the primary contact for exhibitors and vendors throughout each event's lifecycle. Financial oversight forms another critical dimension of this role: managing event budgets in detail, tracking expenses in real-time, processing invoices, coordinating payments, and preparing comprehensive financial reports for leadership. This end-to-end fiscal management ensures events stay within budget and expenditures are transparent and accounted for.

Job Requirements
- Bachelor’s degree preferred
- Experience managing large-scale events
- Strong familiarity with venue operations and event technology
- Proficiency with project management software
- Excellent communication skills
- Ability to remain calm under pressure
- Ability to travel locally and regionally
- Willingness to attend major events in person
- Ability to handle physical setup and lifting up to 30 lbs

Job Qualifications
- Demonstrated experience managing large-scale events and conventions with 500+ attendees
- Strong knowledge of venue operations, catering, audiovisual, and virtual event platforms
- Proficiency with digital project management tools and multi-phase timelines
- Excellent written and verbal communication skills with ability to build relationships
- Calm and confident demeanor under pressure with dependable follow-through
- Bachelor’s degree in event management, hospitality, communications, business or related field preferred
- CMP, PMP, or digital/virtual event producer certifications are a plus
- Experience in nonprofit, educational, or healthcare settings preferred
Job Duties
- Serve as the primary project manager for all events including virtual, hybrid, and in-person from planning through close-out
- Build and enforce comprehensive master project plans, milestone trackers, and task lists
- Manage on-site and virtual live-event operations, serving as a calm problem-solver during execution
- Own and maintain the organization's hosted-events calendar ensuring transparent planning and resource visibility
- Source, evaluate, and manage vendor and venue relationships including contract negotiations
