This position is situated within the Yale School of Public Health, reporting to the Assistant Director of Strategic Engagements in the Office of the Dean. This role is vital in supporting the school's strategic mission by assisting in planning, organizing, coordinating, and facilitating various academic and social events. The events are designed to promote a vibrant community atmosphere among students, faculty, staff, and external partners. The successful candidate will handle operational and logistical aspects of in-person, virtual, and hybrid events, ensuring seamless execution and alignment with the school’s priorities.
The event coordinator will manage complex and diverse educational events, conferences, and social functions, including partnering with internal and external stakeholders to deliver high-quality programming. Responsibilities also include managing event materials, databases, budgeting, invoicing, travel arrangements for guests, catering coordination, and providing administrative support. The role demands excellent communication and coordination skills, as the individual will be the primary information resource regarding event planning within the Office of the Dean and will assist other groups to align their events with the institution’s strategic goals.
In addition to hands-on event management, the role involves creating marketing materials in collaboration with the Office of Communications and assisting with staffing and talking points for events. The candidate will also be responsible for financial tracking, vendor liaison, maintaining professionalism in all interactions, and potentially overseeing the activities of support staff. This position plays a key role in enhancing the school's community engagement efforts, including fostering connections within the university and New Haven community partners.
The position requires a strong ability to multitask, prioritize, and work independently while maintaining excellent attention to detail. Proficiency in Microsoft Office tools and openness to learning new software applications is necessary. Candidates must demonstrate professionalism, confidentiality, resourcefulness, and flexibility to perform well under pressure, with a commitment to inclusiveness and engagement across diverse audiences. Preferences will be given to those familiar with Yale's internal systems and external event planning platforms.

- four years of related experience in event coordination or administrative support
