Job Description

Camaraderie Clubs is a dynamic and innovative private club management company founded by the Co-Founder and former CEO of Travis Mathew. Camaraderie Clubs owns and manages two premier club properties: Spanish Hills Club and The Huntington Club. The Huntington Club, one of the properties under Camaraderie Clubs, is seeking a Club Events Coordinator to join its team. This role is crucial in delivering exceptional event experiences for club members by planning, coordinating, communicating, and executing various member events, golf tournaments, sponsored activities, and club programming. The Club Events Coordinator acts as the key liaison between multiple departments including Food & Beverage, Golf, Racquets, Membership, Facilities, and Culinary teams, ensuring seamless cooperation and flawless execution of events.

In this position, the Club Events Coordinator manages the full life cycle of member events, from the initial inquiry to event completion. This includes managing event logistics, preparing contracts and Banquet Event Orders (BEOs), coordinating with vendors, and assisting with event set-up. The role requires actively managing Monday golf tournaments, promoting participation, and working closely with the Golf team to coordinate all aspects of the tournament experience. The coordinator also maintains an 18-month master calendar of events, keeps track of attendance and budgets, and collaborates with Marketing to communicate with members effectively.

Success in this role is measured by flawless execution of events, accurate documentation, increased member participation and satisfaction, well-maintained event calendars, strong cross-department collaboration, and tracking profitable outcomes from tournaments and events. The ideal candidate will demonstrate outstanding organizational skills, multitasking ability, excellent communication, and a positive hospitality-focused attitude. Proficiency in Microsoft Office and experience with ClubEssential, Reserve, TripleSeat, and Ai software are preferred.

This is a part-time or full-time position with a competitive hourly rate ranging from $28.00 to $32.00 per hour and performance bonus opportunities. Job Requirements

  • High school diploma or equivalent
  • Proven experience coordinating events in a private club or hospitality setting
  • Strong organizational and multitasking skills
  • Excellent written and verbal communication abilities
  • Proficiency in Microsoft Office
  • Ability to work evenings, weekends and holidays
  • Positive and hospitality-focused attitude
  • Ability to lead meetings and coordinate cross-functional teams
  • Experience with ClubEssential, Reserve, TripleSeat, and Ai software preferred

Job Qualifications

  • 2-5 years of event coordination experience in a private club, hospitality, resort or hotel environment
  • Experience with tournaments, member programming or banquet operations preferred

Job Duties

  • Serve as the club's primary point of contact for all incoming event inquiries from members
  • Receive, coordinate and execute club-programmed member events, member-sponsored celebrations, and Monday golf tournaments
  • Prepare all event contracts and Banquet Event Orders (BEOs)
  • Formally transition all contracted events to the Banquet and Food & Beverage teams with complete documentation
  • Actively sell and manage Monday golf tournaments end-to-end
  • Maintain the club’s rolling 18-month master calendar
  • Coordinate event logistics with Golf, Racquets, Food & Beverage, Culinary, Facilities and Membership teams
  • Schedule entertainment, rentals, décor, AV and outside vendors for events
  • Assist with room layouts, diagrams and event setup plans
  • Partner with Marketing on event flyers, emails and member communications
  • Track attendance, event budgets and performance metrics
  • Provide exceptional member service throughout planning and contracting
  • Perform additional duties as assigned by the General Manager
