The position of Events Coordinator at World Treasures Museum is a dynamic role that involves overseeing and facilitating museum event rentals and promotional events. Reporting directly to the Operations Director, the Events Coordinator plays a pivotal role in promoting and selling event bookings, ensuring smooth event execution, and enhancing the overall customer experience. This role requires a high degree of organizational skill, flexibility, and the ability to work evenings and weekends to meet the demands of event schedules. The Events Coordinator is responsible for a variety of critical tasks, including scheduling tours, managing rental contracts, collecting payments, designing floor plans, and coordinating with vendors and staff. The position also involves maintaining cleanliness and sanitation in event spaces, adhering to approved budgets, and ensuring top-notch service quality.

Beyond event coordination, the role entails fostering strong relationships with special event sponsors and community partners to support the museum’s mission. Job Duties

  • Work under the general supervision of the Operations Director
  • Promote, sell bookings, and facilitate event rentals and special events
  • Schedule and provide facility tours, manage rental contracts, collect payments, design and set floor plans, schedule staff and vendors
  • Maintain partnerships with special event sponsors
  • Ensure cleanliness and sanitation of museum facilities and event spaces
  • Follow approved budget and monitor service quality
  • Establish and maintain effective working relationships with employees, officials, and the public
  • Serve on museum committees and participate in networking activities
  • Assist all departments with special event coordination
  • Complete general organizational tasks including front desk coverage, tour delivery, and cleaning
  • Promote diversity, equity, accessibility, and inclusion
  • Attend museum trainings and professional development
  • Communicate and partner with other museum departments on projects
