Job Requirements
- Bachelor’s degree or equivalent work experience
- Previous experience in event management or related field
- Strong interpersonal and communication skills
- Ability to manage multiple tasks and meet deadlines
- Experience with contract negotiations and vendor management
- Proficiency in using software for event planning and communication
- Ability to travel and work onsite as required
Job Qualifications
- Bachelor’s degree or equivalent work experience
- Experience in event management and project management
- Knowledge of contract negotiations for event-related services
- Strong organizational and multitasking abilities
- Effective written and verbal communication skills
- Ability to work professionally with internal and external stakeholders
- Proficiency in using event management software and databases
Job Duties
- Develop and maintain event planning processes with timelines and responsibilities
- Work with senior management to determine event themes and site selections
- Maintain master files for all event-related materials
- Ensure brand consistency for all events and coordinate marketing strategies
- Assist with subcontracting and serve as on-site coordinator for events
- Track expenses and keep events within budget
- Research, book, and manage logistics for speakers
- Keep event agendas current and manage staff assignments
- Prepare event materials and oversee room configurations
- Create and manage sponsorships and serve as sponsor liaison
- Ensure events run on schedule and handle AV needs if necessary
- Create and maintain event and sponsorship webpages and registration databases
- Conduct post-event surveys and prepare comprehensive reports
- Send thank you communications to speakers, venues, vendors, and sponsors
- Manage vendor invoices, follow up on outstanding payments, and reconcile budgets
