Job Description
The Mechanical Contractors Association of Western Washington (MCAWW) is a well-established member-driven association that serves the mechanical contracting industry within Western Washington. Located in downtown Seattle, MCAWW is dedicated to fostering a connected and professional community by delivering valuable programming, hosting engaging events, and promoting networking opportunities for its members. MCAWW is currently seeking a dedicated and enthusiastic Events Coordinator to join their team in Seattle, Washington. This is a fully onsite role with paid parking provided, offering an excellent opportunity for someone who thrives in a dynamic, people-oriented environment. The position, internally titled Support Services & Events Coordinator, involves leading the planning and execution of a wide variety of member events, including networking luncheons, educational programs, the annual golf tournament, holiday celebrations, and other signature association events. The Events Coordinator will act as a trusted point of contact for members, cultivate strong relationships, support communications and engagement initiatives, and contribute significantly to creating a welcoming and engaging member community.
In this role, the Events Coordinator will be responsible for managing the end-to-end logistics of multiple events. This includes coordinating venues, audiovisual requirements, catering, registration materials, and ensuring seamless onsite execution. Collaboration with internal teams and external vendors is essential to deliver events that meet and exceed member expectations. The role also involves tracking budgets, monitoring expenses, and supporting post-event evaluations to continuously improve programming quality and member satisfaction.
Beyond event management, the Events Coordinator will support membership engagement efforts by tracking participation and identifying opportunities to enhance overall member experiences. The position also includes assisting in the production and distribution of the organization’s bi-monthly newsletter and helping maintain membership systems, databases, and the website. Administrative duties such as scheduling, document preparation, data entry, and file management are part of the daily responsibilities, alongside supporting educational programming through classroom setup and follow-up activities.
This position requires a balance of organizational skills, customer service, communication abilities, and a proactive, problem-solving approach. Job Requirements
- Bachelor’s degree or equivalent experience in event management, communications, or related field preferred
- Minimum of 2 years experience coordinating events or programs
- Strong verbal and written communication skills
- Ability to manage multiple projects simultaneously
- Experience working onsite in an office environment
- Proficiency with event management software and Microsoft Office
- Ability to provide excellent customer service and work with diverse groups
- Valid Washington State driver’s license and reliable transportation
- Willingness to work flexible hours including some evenings and weekends
- Ability to lift and set up event materials as needed
Job Qualifications
- Experience coordinating events or programs, including logistics and vendor management
- Strong organizational skills with the ability to manage multiple priorities and deadlines
- Excellent customer service and communication skills, both written and verbal
- Comfort serving as a primary point of contact and building relationships with members and stakeholders
- Ability to work both independently and collaboratively in a team environment
- Experience with databases, websites, or CRM systems preferred
- Proficiency with Microsoft Office or similar tools
- Attention to detail and a proactive, problem-solving mindset
Job Duties
- Plan, coordinate, and execute a variety of member events, including luncheons, a Golf Tournament, Holiday Party, Annual Meeting, DEIB events, WiMi events, Sip & Savor, and Speech Network
- Manage event logistics end-to-end, including venue coordination, AV, catering, registration materials, and onsite execution
- Partner with internal team members and external vendors to deliver high-quality, engaging events aligned with member expectations
- Track event budgets, monitor expenses, and support post-event evaluations to continuously improve programming
- Serve as the primary point of contact for member inquiries via phone, email, and in person, ensuring a high level of responsiveness and service
- Support membership engagement efforts by tracking participation and identifying opportunities to enhance the member experience
- Assist in producing and distributing the organization’s bi-monthly newsletter
- Help maintain and update membership systems, including the database and website
- Provide administrative support such as scheduling, document preparation, data entry, and file management
- Support educational programming, including classroom setup, materials preparation, and post-training follow-up
- Assist with committee coordination, including support for groups such as the Associate Member Committee
