The Events Coordinator role at the Napa Institute is integral to advancing this mission by supporting the planning, coordination, and flawless execution of key events, especially in the eastern half of the United States. Based in the Washington, DC office, the Events Coordinator works closely under the guidance of the Lead Events Manager. This position involves contributing to the organization of major conferences such as the Summer Conference, Faith and Business Conference featuring a Eucharistic Procession in New York City, Napa Nights, and various one-off special events and dinners.
The coordinator's responsibilities include managing vendor relationships, overseeing event logistics, assisting with budgeting to ensure costs remain within approved limits, and facilitating communication with attendees and speakers. This role demands someone who is highly detail-oriented and proactive, capable of thriving in a dynamic, high-profile environment while fostering teamwork toward shared goals. A passionate commitment to the mission and values of the Napa Institute and the Catholic faith is essential.
Moreover, this position requires excellent organizational leadership skills, financial aptitude, strong communication capabilities, and the ability to coordinate tasks seamlessly across different departments. Some travel along the East Coast and occasionally to California is also involved to supervise and assist with event execution on-site. The successful candidate will play a vital role in maintaining the excellence and integrity of Napa Institute events, ensuring every occasion reflects the Institute’s standard of quality and spiritual depth.

Job Requirements
- Bachelor’s degree preferred
- 1-2 years event management experience
- Strong organizational and administrative skills
- Excellent communication skills
- Ability to prioritize and handle multiple events
- Ability to work collaboratively with diverse stakeholders
- High professionalism and confidentiality
- Proficiency in Microsoft Office and event tools
- Willingness to travel on East Coast and occasionally California
Job Qualifications

Job Duties
- Assist with venue contracts and coordination with external partners
- Monitor event expenditures to ensure budget compliance
- Manage event registrations and attendee communications
- Develop and manage event schedules and speaker logistics
- Liaise with vendors, including caterers, audio/visual teams, and decorators
- Oversee event operations, including meals, presentations, and liturgies
- Manage volunteers and troubleshoot issues during events
- Ensure post-event follow-up and reporting
- Finalize details with venues and vendors
