The role of Events Coordinator at Stanly Ranch is designed for individuals passionate about hospitality and event management within a luxury resort setting. This position involves supporting the Private Events team in flawlessly executing various types of events, including weddings, corporate functions, social gatherings, and internal meetings. The Events Coordinator plays a crucial role in ensuring every event runs smoothly, maintaining clear communication between departments such as Sales, Catering, Food and Beverage, and Housekeeping. This position requires candidates to be detail-oriented, highly organized, and possess strong verbal and written communication skills to coordinate event details effectively.

The Events Coordinator is responsible for preparing and distributing important event documentation like Banquet Event Orders (BEOs) and Group Resumes for weekly and daily meetings, thereby facilitating efficient internal and client communications. Coordination extends to managing event-related paperwork, including menus, signage, and floor plans, as well as arranging VIP amenities and assisting with site inspections and pre-planning meetings. This role often serves as an interim contact during Sales Group turnovers until events are assigned to Event Managers. Daily event agendas and internal communications are managed meticulously, keeping all relevant parties informed about event status.

This position also involves supporting internal meetings, tracking coordinator needs, updating catering pace reports, and assisting with internal event planning. The Events Coordinator audits contracts for program highlights and potential conflicts and maintains responsibilities related to the resort’s Delphi system, ensuring accurate event bookings, menu updates, and space management. Additional coordination duties include liaising with departments such as Talent & Culture, Front Office, Audio-Visual partners, and more.

The position demands flexibility to work early mornings, late evenings, and weekends when necessary. The salary starts at $27.00 per hour, with the final compensation reflecting the candidate's experience and educational background. The Events Coordinator contributes to maintaining the high standards of service and organization that guests expect at Stanly Ranch, all while embracing the resort's commitment to sustainability and environmental stewardship. Job Requirements

  • Previous experience in event coordination, hospitality, or similar administrative role
  • High school diploma or equivalent
  • Proficiency in relevant software including Delphi, Opera, Tripleseat, and Way
  • Ability to work flexible hours including weekends and evenings
  • Strong verbal and written communication skills
  • Ability to multitask and manage time effectively
  • Positive attitude and ability to work under pressure

Job Duties

  • Maintain communication with key operational departments to ensure smooth event execution
  • Prepare and distribute BEOs and Group Resumes for meetings and reviews
  • Coordinate event-related paperwork including menus, signage, and floor plans
  • Arrange arrival amenities for event VIPs and assist with site inspections and meetings
  • Serve as interim contact for Sales Group Turnovers until assigned to Event Managers
  • Manage daily event agendas and internal communication to keep teams informed
  • Support internal meetings and track Coordinator needs such as Alice Tickets and client collateral
  • Provide updates for the weekly Catering pace report and assist with internal event planning
  • Review and audit contracts for program highlights, concessions, timing, and space conflicts
  • Maintain Delphi Administrator duties, including event bookings, menu updates, and space availability management
  • Coordinate internal event requests with Talent & Culture, Front Office, AV partners, and other departments
  • Assist in developing group and social event resumes and amenities
  • Maintain office organization, inventory supplies, and assist with Birchstreet ordering
  • Assist Director of Events and Event Managers with BEOs for various events ensuring accuracy and timeliness
  • Track and resolve issues related to event scheduling and logistics
  • Act as liaison to Experiences team
  • Maintain confidentiality of resort information and client details
  • Follow up on incomplete tasks and assist with special projects
  • Contribute to sustainability and environmental initiatives
  • Assist with client thank you notes, evaluations, and shipment tracking
  • Ensure organization and cleanliness of event spaces prior to site inspections
