The Events Coordinator, Administration role within University Health Services offers a unique opportunity to be involved in both the operational and outreach aspects of student healthcare services. This full-time exempt position involves planning, coordinating, and executing various UHS outreach clinics and departmental events, such as flu shot outreach clinics, immunization clinics, and special health programs. The role is essential for ensuring smooth logistical execution and coordination in support of the health outreach efforts. Additionally, the coordinator provides administrative support to UHS leadership and clinical departments, helping maintain documentation, clinic logistics, and event-related administrative tasks.
As the primary planner for UHS events, the Events Coordinator is responsible for managing all aspects of event execution, including securing meeting spaces, coordinating audio/visual needs, handling catering and refreshments, managing supplemental supplies, and processing vendor payments and reimbursements. The role also involves supporting Continuing Medical Education (CME) activities, assisting with CME planning and accreditation, and maintaining UHS forms and associated materials.
The position requires a highly organized individual with strong project management skills, refined communication abilities, and the capacity to manage multiple tasks with overlapping deadlines. The ideal candidate will have experience working with Microsoft Office applications, demonstrate exceptional professionalism and commitment to quality care, and uphold high standards of customer service and confidentiality. Working conditions typically involve standard office environments with occasional exposure to biohazards and medical clinic environments. The work shift is scheduled on-site from Monday through Friday, 8 AM to 5 PM, with extended hours possible on event days.

Job Requirements
- Bachelor's degree and three years of experience managing complex events involving multiple stakeholders and evolving logistical requirements or high school graduation/GED/Associate Degree and five years of equivalent event coordination
- At least two years of administrative support and performing complex administrative functions
- Demonstrated proficiency with Microsoft Office applications including Word, Excel, Outlook, PowerPoint, and Teams
- Strong project management and organizational skills with attention to detail
- Demonstrated ability to prioritize responsibilities, problem solve, manage multiple concurrent projects, and meet overlapping deadlines
- Excellent communication skills coupled with a professional demeanor
- Demonstrated regular and punctual attendance pattern, customer service-oriented behavior and excellent public relations skills
- Relevant education and experience may be substituted as appropriate
Job Qualifications
- Bachelor's degree with three years of complex event management experience or high school diploma/GED/Associate degree with five years event coordination experience
- At least two years of administrative support experience with complex functions
