This particular position is centered around providing comprehensive logistical and administrative support for NACo's conferences and events. The role is essential to the smooth execution of these gatherings, ensuring that both large-scale conferences and smaller events run effectively and meet the organization's standards for quality and impact. Reporting directly to the Director of Conferences, the individual in this position will take charge of planning, coordinating, and managing various event-related activities.
The responsibilities include managing key logistics such as website updates, mobile app content, and session information to maintain accuracy and relevance for attendees. Additionally, the role requires coordination of audio/visual needs and room setups, which involves thorough pre-event planning and on-site verification to address any challenges promptly. Beyond the main conferences, the individual will support the planning and execution of offsite events, receptions, and mobile tours, which are crucial for providing enriching experiences to participants.
Vendor coordination is another significant aspect of this role, encompassing transportation, security, décor, and other related services vital to the event’s success. The position also entails managing staff housing arrangements, volunteer coordination, and overseeing on-site conference operations to ensure seamless event functioning. Players in this role are often primary or secondary leads for smaller events, managing logistics, vendor interactions, and enhancing the overall attendee experience.
Moreover, meticulous tracking of event-related tasks, documentation, and financial records—including invoices and internal system entries—is required to maintain organizational accountability and efficiency. This role demands a high level of organizational skills, communication proficiency, and the ability to multitask in a dynamic environment. Located in Washington, DC, the position offers a hybrid work schedule and includes travel to NACo's conferences and events about 5-8 times per year. Job Requirements
- Bachelor’s degree preferred
- 2-7 years of meeting planning or event coordination experience
- Experience supporting association or nonprofit events
- CMP CAE or PMP certification a plus
- Strong organizational communication and vendor coordination skills

Job Duties
- Coordinate logistics for NACo’s major conferences including website updates mobile app management and session information accuracy
- Coordinate audio/visual and room set needs including pre-event planning and on-site verification
- Support planning and execution of offsite events receptions and mobile tours
- Assist with vendor coordination including transportation security décor and related services
- Support staff housing volunteer coordination and on-site conference operations
- Serve as primary or secondary lead for small events including logistics vendor coordination and attendee experience
- Track event-related tasks documentation and expenses including invoices and internal systems
