The role of the Events Coordinator within this vibrant environment is vital to the smooth operation and ongoing success of the Salt Lake Regional Athletic Complex. The full-time Events Coordinator is responsible for managing a variety of athletic events and league reservations, overseeing event logistics, and acting as a key communication link among tournament directors, leagues, city staff, and maintenance teams. This position requires a motivated and highly organized individual who thrives in a multi-tasking, fast-paced environment with strong interpersonal and problem-solving skills.

The Events Coordinator's responsibilities include coordinating facility usage for diverse events such as classes, camps, programs, rentals, performances, film screenings, special city and community events. They play a critical role in receiving, reviewing, and approving use applications from various event organizers and ensuring compliance with city policies and procedures. The coordinator is instrumental in determining costs, managing contracts, processing payments, and ensuring that event logistics are meticulously handled.

Moreover, the position entails collaborating with other city departments and external organizations to gather sponsorships, enable marketing efforts, and enhance media coverage and public relations for events. The Events Coordinator contributes to policy development, staff scheduling and supervision, budget planning, and promoting events on social media platforms to maximize community involvement and event success.

Job Requirements

  • Associate degree from an accredited college or university
  • Two years paid full-time experience working in an office environment or programming
  • Ability to establish and maintain effective working relationships with event organizers, city staff, and the public
  • Ability to communicate effectively and present proposals and ideas
  • Ability to analyze problems, develop solutions, and make decisions
  • Proficiency in operating a personal computer and software including word processing, spreadsheets, internet, reservation, financial, and maintenance systems
  • Capability to extract data and analyze using spreadsheets
  • Physical ability to move between locations
  • Comfortable with moderate physical effort including setting up and disassembly of furniture and equipment
  • Ability to manage stressful situations related to human behavior and time constraints

Job Qualifications

  • Associate degree from an accredited college or university or equivalent experience
  • Two years paid full-time experience in an office or programming environment or equivalent education and experience
  • Ability to establish and maintain effective working relationships with event organizers, city staff, and the public
  • Strong communication skills including effective presentation of proposals and ideas
  • Capacity to analyze problems, develop and recommend solutions, and make decisions
  • Proficient in personal computer use and applicable software including word processing, spreadsheets, internet, reservation software, financial software, and maintenance work order systems
  • Ability to extract and analyze data to support management decision-making
  • Experience with budgeting and record keeping preferred
  • Experience in fundraising, marketing, or public relations preferred

Job Duties

  • Coordinates facility usage and events including classes, camps, programs, rentals, performances, film screenings, special events, and other community and city events
  • Receives, reviews, and approves use applications including rentals, tournaments, and events
  • Works with program managers to approve applications
  • Assists in coordinating City-sponsored special events
  • Makes decisions using applicable regulations, policies, practices, or procedures to determine eligibility and feasibility of event requests
  • Consults with officials to determine appropriate staffing, facility usage, and safety for scheduled events
  • Determines costs of City services and informs petitioners of various costs, regulations, legal guidelines, and event processes
  • Collects, processes, and deposits rental fees and other event fees
  • Advises applicants on strategies to minimize costs and maximize results
  • Interacts with other city departments and external agencies for sponsorships, marketing strategies, media coverage, and public relations
  • Inputs room or field reservations into reservation system
  • Creates rental and programming agreements for facility usage
  • Ensures all agreements are completed
  • Answers questions from event organizers and facility users about policies, staffing, service requests, costs, and processes
  • Maintains rental equipment and furniture including setup, takedown, storage, and maintenance
  • Assists in developing and updating policies, procedures, requirements, rental procedures, application forms, and information pamphlets
  • Oversees hourly event staff, volunteers, and schedules ensuring task completion and compliance with certifications and training
  • Assesses and assists in evaluating budget needs, expenses, and fees
  • Provides communication, information, and support to staff for optimal customer service
  • Promotes events and customer experience on social media platforms
  • Performs other duties as assigned
